Document Control Specialist

The Document Control Specialist electronically manages the documents and records for the project services team. Further, the Document Control Specialist will have a strong understanding of document management software and be able to handle document access intaking and archiving responsibilities. This role will prepare, move, organize, and file all technical or commercial documents and ensure they comply with legal and business regulations.
Key Responsibilities
- Following established policies and procedures regarding document storage, sharing, transmission, and destruction.
- Understand and adhere to Project Document Control Procedures and QA Standards
- Provide input regarding improvements to the document control process
- Make routine decisions and recommendations within authorized limits. Exercise initiative in completing recurring assignments independently.
- Ensuring the organization complies with applicable laws and regulations regarding data security and document control.
- Identifying and numbering documents that come into the department or organization.
- Using an electronic document management system (EDMS) such as SharePoint to index, store, issue and retrieve a wide variety of document types (transmittals, contracts, training records, and engineering drawings).
- Preparing regular status reports on document transmittal status, including communication, acceptance, and completion delays.
- Converting paper documents to digital format by scanning them using software linked to the EDMS
- Reviewing documents, checking they comply with regulations, creating revisions and archiving outdated versions.
- Distributing documents to the relevant people, departments, or organizations and communicating when action is required.
- Utilizing master document templates and supporting employee training on proper use.
- Updating document control procedures in collaboration with other departments
- Ability to proactively manage database changes using software management systems
- Following up on open action items with internal and external parties
- Performing other related duties as assigned
Required Skills/Abilities:
- Outstanding verbal and written communication skills.
- Collaborative individual with the ability to work effectively with multiple departments
- Excellent Microsoft Office 365 skills, including SharePoint, OneDrive, Adobe Acrobat Professional DC, FTP tools, and Visio.
- Acute attention to detail and able to meet tight schedule
- Superb organizational skills and attention to detail.
- Expertise with the relevant regulations regarding document keeping and handling.
- Excellent analytical, technical, and problem-solving skills.
- Expertise in document capturing systems.
- Time-oriented approach to handling queries and tasks.
- Able to work extended hours as project deliverables dictate.
Key Education & Experience
- A bachelor's degree in business administration, library management, or record management.
- 5 to 10 years experience in document, archive, or records management with an energy company or similar
- At least 5 years of current, hands-on experience required at an intermediate to senior level
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
