We are currently looking for a Mortgage Accounting Assistant to join our team.
**Position Summary**
The Mortgage Accounting Assistant plays an integral role on the Finance team by providing support to the Controller in various financial functions. This role is responsible for transactional accounting duties for client and investor accounts. The Accounting Assistant processes mortgage payments end-to-end, from collecting payments from clients to paying out investors. This position also assists with accounts payable, receivable and payroll activities. The Accounting Assistant also provides general support to the team by completing administrative tasks such as filing, copying, and answering the phone.
**List of Main Responsibilities**
Mortgage Administration
- 55%
- Enter new mortgage files in Mortgage Office program.
- Process client mortgage payments and send Automated Clearing House (ACH) file to the bank
- Process all interest-only payments.
- Process all incoming mortgage payments (bi-monthly) and outgoing investor payments (quarterly).
- Use Mortgage Office program to input each mortgage payment into a spreadsheet, dividing funds up among each investor.
- Ensure spreadsheet reconciles all incoming mortgage payments vs outgoing investor payments.
- Enter journal entries into QuickBooks Pro for mortgage payments and investor payments.
- Complete investor breakdown spreadsheet once each payout statement is processed.
- Payout client mortgage files in QuickBooks and Mortgage Office once certified funds on payout is received.
- Enter various mortgage client payments in trust.
Accounts Payable/ Receivable
- 15%
- Collaborate with the Controller to maintain collection goals and general A/P and A/R performance levels.
- Assist Controller with preparing, posting, verifying, and recording payments and transactions related to accounts receivable.
- Maintain and update client mortgage and investor files, including name or address changes.
- Create reports regarding the current status of client mortgage accounts as requested.
- Research discrepancies and past-due amounts.
- Reconcile revenue accounts each month.
Payroll Support
- 15%
- Support Controller with bi-weekly payroll process for employees.
- Complete time entry (regular hours, vacation, absences) into QuickBooks.
- Capture all tax withholdings / source deductions for employees.
- Ensure ROE are issued timely and correctly.
- Assist in year end reporting / filings and T4s.
- Address employee questions related to payroll
General Accounting Duties
- 15%
- Complete quarterly spreadsheet for investor dividends.
- Complete journal entries associated with quarterly dividends.
- Assist with various receiver general reporting and payments.
- Ensure the strict confidentiality and privacy of financial records as they relate to the organization, clients and investors.
- Collaboration with the finance team on special projects
- Perform other administrative and related duties as assigned.

- Strong knowledge of Provincial legislative requirements.

- Must possess superior organizational abilities and intense attention to detail.
- Ability to multi-task and manage multiple projects, and conflicting deadlines.
- Strong problem-solving skills.
- Ability to work with large volumes of data.
- Ability to maintain quality and focus while working through repetitive tasks.
- Ability to work independently and understand when to escalate.
- Ability to learn and follow established policies and procedures.
- Excellent MS Office suite skills; QuickBooks Pro, Mortgage Office, Excel.
- Knowledge of Mortgage Investment Corporations, mortgage/investment payments.
- Excellent oral and written communication skills.
- 3-5 years experience in real estate property bookkeeping or similar industry.
- 3-5 years experience in finance, accounting, bookkeeping role or equivalent position.
- Designated CPA, or in pursuit considered an asset.
- Post-secondary education.
- Must provide an up-to-date police and credit check upon hire.
