We are currently seeking an **Administrative Coordinator** to be based in our **Vaughan, Ontario** **Canada** headquarters.

**Job Summary**

**Key Responsibilities**
- Provide back-up to Order Entry and Customer Service as required;
- Allocate faxed customer orders into the correct Customer Service e-folders;
- Manage and update customer order acknowledgment ship dates
- Administer boardroom schedules through Outlook;
- Organize, set up, and support events, meetings, and social functions;
- Arrange food and beverages for training sessions;
- Answer phone and direct calls;
- Greet visitors and maintain the visitor log;
- Order printer cartridges, office supplies and other items and keep them organized;
- Send outgoing mail and courier packages;
- Replenish and report postage machine/usage;
- Organize vending, soft drink and coffee machine suppliers;
- Register security access cards;
- Provide admin support to Purchasing and Customer Service, Data Entry;
- Oversee facility maintenance requests;
- Organize and maintain the copier/supply room;
- Communicate to cleaners to ensure office/facility cleanliness;
- Administrative responsibilities;
- Other duties as required.

**Education and Experience**
- Post-secondary Education preferred
- 1 year of related experience;
**Key Competencies**
- Highly organized and flexible;
- Excellent oral and written communication skills;
- Exceptional phone etiquette;
- Proficient with Microsoft Outlook, Word, PowerPoint & Excel Must be a team player and able to work in a dynamic environment;
- Able to multi-task, meet changing deadlines and use effective time management;
- Detail oriented and works with a high degree of accuracy;
- Must be self directed and able to complete projects with limited supervision.
