**Responsibilities**:

- Provides department administrative support including typing and composting correspondence such as memos, reports, and invitations.
- Help coordinate and assist with fundraising activities including events, donor relations, interdepartmental communications, and external marketing.
- Plan and prepare materials for internal and external meetings/conferences, including logistics
- Manage and maintain the database.
- Receipting and processing invoices; preparing deposits for Finance.
- Plan quarterly Foundation Board meetings in consultation with Board Chair.
- Record minutes from Foundation Board meetings and distribute them to members.
- Track attendance for Foundation Board Members.

**Tasks**:

- Works closely with the Development Associate Corporate Director to coordinate and assist with Northwood's donor relations, donation data entry, direct mail programs, cultivations, and all fundraising efforts including major gifts, planned giving, and events
- Prepares and produces appropriate donor acknowledgment; drafts individualized correspondence and maintains contact with donors and prospects
- Prepares deposits; processes online donations and works with Finance to resolve problems
- Issues receipts in a timely and efficient manner, researching any returned items and resolving related issues
- Assists in the cultivation of all donors and volunteers
- Assists in the coordination of stewardship events
- Responds promptly to inquiries from donors, volunteers, and prospects by mail, phone, and electronically
- Maintains and improves database with accurate and timely data entry (including donor demographics, monetary and in-kind gifts, sponsorships, program donations, and stock information)
- Manages requests for database retrieval, including support for data
- Coordinates mailings for annual and intermittent fundraising appeals
- Provides administrative support for the annual fundraising events
- Maintains and reconciles Foundation expenses with financial reports
- Other related duties as assigned
- Prepares accurate donor reports as needed, facilitates bulk mailing, and maintains working files in an up-to-date, accurate manner
- Prepares data reports as required by finance for auditing purposes

**Qualifications**:

- College Diploma in Business or Office/Administration
- Two to three years of administrative experience required
- Experience in a foundation or fundraising role required
- Experience using Donor Perfect or related fundraising contact management systems required
- Experience with preparing mail merges required
- Experience with event coordination required
- Experience with database management and/or website management is considered a strong asset
- Experience in a nonprofit or charitable organization required
- Must have excellent written and verbal communication skills

**Hours of Work: 80 hours bi-weekly**

**Salary: As per the Northwood Scale**

**Effective: Immediately**

**Job Types**: Full-time, Permanent

**Salary**: $18.00-$19.00 per hour
