**Business Manager & Financial Controller**
**Reports to**:General Manager (GM)
**Financial Oversight (dotted line)**:CFO
The **Business Manager & Financial Controller** is responsible for overseeing the company’s **financial systems, administrative infrastructure, human resources processes, and business reporting,** ensuring accuracy, consistency, and scalability as the organization grows.
This does **not**include responsibility for construction or field operations. Instead, it serves as the **back-office financial and systems backbone**of the organization, supporting leadership with reliable financial information, well-designed systems, and disciplined processes.
**Key Responsibilities**
**Finance**
- Provide financial data, metrics, and insights to senior management related to profitability, trends, and cost optimization.
- Supporting budgeting, forecasting, and variance analysis, providing clear explanations of results and trends to leadership.
- Oversee daily financial processes including payroll, accounts receivable, and accounts payable.
- Partner with the Bookkeeper and CFO to maintain weekly cash flow forecasts and ensure financial accuracy.
- Support month-end and year-end close activities, including reconciliations, documentation, and reporting.
- Assist with job costing, margin tracking, and financial close-out of projects.
- Ensuring financial records are complete, well-documented, and audit-ready.
**Administration**
- Prepare, organize, and manage contract documentation and proposals, ensuring proper execution, filing, and version control.
- Maintain and update internal records (HR files, insurance, leases, vehicles, compliance documents).
- Provide administrative coordination for legal, insurance, and compliance matters.
- Monitor company vehicles (GPS tracking, maintenance schedules, renewals).
- Prepare and deliver monthly administrative and operational reports to senior management.
- Support production teams with invoicing support, client communication, and close-out tasks.
**Human Resources**
- Oversee HR operations, ensuring policies and procedures are current, compliant, and consistently applied.
- Manage onboarding and offboarding processes, including documentation, background checks, orientation.
- Coordinate the HR review cycle, including quarterly pay scale updates based on market benchmarks.
- Serve as the company representative for immigration-related documentation and employment verification.
- Support leadership in fostering a positive, compliant, and transparent workplace culture.
**Systems Management**
- Own and maintain key business systems (Buildertrend, Microsoft 365, reporting platforms).
- Ensure data integrity across systems and reporting outputs.
- Develop, maintain, and improve dashboards, reports, and automations.
- Identify process improvement opportunities and implement scalable solutions.
- Ensure systems are documented, tested, and resilient to change.
**Success in This Role Looks Like**

**Qualifications**
- Post-secondary education in **Business Administration, Office Management, HR, or related field**(or equivalent work experience).
- **5+ years**of experience in office management or administrative leadership roles.
- Demonstrated experience overseeing **financial processes**(payroll, accounts payable/receivable, reporting).
- Proven background in **HR operations,** including recruitment, onboarding, performance reviews, and policy management.
- Experience managing **systems and tools** such as Microsoft 365, BuilderTrend, or similar platforms.
- Familiarity with **contract administration**and supporting legal/immigration processes considered and asset.

- Strong organizational and **time management skills**with the ability to handle multiple priorities.
- Excellent **communication and interpersonal skills** for interacting with staff, management, clients, and external stakeholders.
- High level of **discretion and confidentiality** in handling sensitive information.
- Strong **problem-solving and decision-making abilities.**:
- Financial literacy, with the ability to analyze data and provide insights.
- Proficiency in Microsoft Office Suite and comfort with technology platforms.
- Leadership skill with the ability to support and develop staff.
Pay: $60,000.00-$70,000.00 per year
