**Position Overview**

**UNITE HERE Local 75** seeks a **Project Assistant** to play a vital role in supporting the union's initiatives, projects, and activities. This position involves providing both administrative and logístical support to the union's project team, coordinating project-related tasks, and ensuring effective communication among team members and stakeholders. The Project Assistant aids in the successful planning, implementation, and completion of union projects. The Project Assistant contributes to the overall efficiency and productivity of the union by ensuring smooth operations and adherence to project timelines and deliverables.

**Key Accountabilities**

**Assist in coordinating various projects and administrative duties within the Union by**:

- **Project Coordination**: Organization of meetings, preparation of project documentation, tracking progress, and ensuring a timely completion of tasks
- **Communication and Stakeholder Management**: Facilitate effective communication among project team members, union members, management, and other stakeholders
- **Documentation and Reporting**: Ensure accuracy, clarity, and compliance with established formats and guidelines
- **Administrative Support**: Provide administrative assistance within the union, including scheduling meetings, taking meeting minutes, drafting correspondence, expense reports, and maintaining project files and records.

**Identifying opportunities for process improvement by**:

- **Enhancing Efficiency**:Propose solutions to aid in systems efficiency, effectiveness and contribute to knowledge sharing within union
- **Problem-Solving**: Develop programs or processes through strong problem-solving skills and identify obstacles or challenges in the current systems
- **Develop Creative Solutions**: Being resourceful and adaptive in the approach needed to achieve the desired outcomes
- **Attention to Detail**: Paying close attention to detail to ensure accuracy and precision in work.

**Manage data and reporting as well as supporting union research by**:

- **Research and Data Analysis**: Assist with research on relevant topics, gather data, and assist in analyzing information to support the research team in decision-making and strategy development.
- **Budget and Expense Management**: Support the Union in managing project budgets, tracking expenses, and ensuring adherence to financial guidelines and procedure processes.

**Role Requirements**
- This is a hybrid position and while some parts of this position can be completed at-home in a virtual setting, this position **has a significant in-person requirement**:

- This position may require some **work outside of standard business hours**. UNITE HERE Local 75 represents hospitality workers and therefor reflects the needs of the hospitality workforce and its availability for support.
- **This position will be required to work some evenings and weekends.**

**Required Skills & Experience**
- Experience working within a union and/or the hospitality industry is an asset
- Experience in coordinating, implementing, and evaluating processes and systems practices
- Experience in non-profit and/or social service settings
- Proven experience as an administrative assistant or project assistant, preferably in a union or nonprofit organization
- Familiarity with union operations and understanding of labor rights and regulations is highly desirable
- Proficient in using office software (e.g., word processing, spreadsheet, presentation) and project management tools
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Proactive and resourceful problem-solving abilities
- Ability to adapt to changing priorities and handle multiple tasks simultaneously

**Compensation & Benefits**
- This role will receive an annual salary of **$60,000 - $65,000 CAD** (pro-rated through the length of the contract, if applicable)
