**The role**

We're looking for a proactive, highly organized with good judgement individual who can effectively coordinate manage governance committees on behalf of the organization. Reporting to the Senior Director, Strategic Policy and Partnerships, you will support the team with the coordination of all activities related to managing of internal and external governance committees.

**The responsibilities**
- Support the Secretariat function of multiple external governance committees.
- Work closely, primarily with the Secretariat Lead, but as well with the management, to advance documents, decisions, through the Secretariat.
- Coordinate and manage the organization of the governance committees.
- Work closely with Transport Canada, and other departments as necessary, on scheduling meetings, ensuring video conference and / or in-person facilities are available.
- Conduct reviews of all committee documents to ensure consistency, quality and prepare post-meeting materials, including minutes, as required.
- Coordinate the distribution of all meeting materials within the appropriate timeframes.
- Provide strategic verbal and written advice and debrief as required.

**The requirements**
- Diploma or certificate in administration, or an acceptable combination of education, training and experience.
- A minimum of 3 years of experience in a similar role.
- Ability to maintain good relations with various external partners.
- Great capacity for initiative and taking charge of files, proactive in identifying issues and finding solutions, comfortable working independently and prioritizing files.
- Ability to work in an environment with sometimes limited clarity on next steps.
- Proven analytical and synthesis skills.
- Openness to travel occasionally.
- Solid experience with Microsoft Office Suite.
- Good communication and diplomatic skills, both verbal and written and in both official languages.
- Rigorous, organized and respectful of deadlines.
- Ability to think ahead of issues that may arise.
