**Responsibilities**
- Provide clerical support to the administrative team
- Scan, copy and bind documents
- Process incoming and outgoing mail and packages
- Electronic filing of various documents with government entities
- Manage the archiving of paper files
- Daily external travel : post office, government offices, banks, etc.
- Supply provisioning & inventory control : ordering, maintaining & distributing office supplies
- Facility maintenance : coordinating office maintenance
- Equipment management : place service calls, answer users’ questions
- Liaising and maintaining strong and professional relationship with various vendors
- Preparing internal offices for new hires
- Health and Safety Support
- Participation in special projects
- Perform any other required administrative tasks

Substitute role for the following service delivery:

- Assist at reception (answering incoming calls, greeting visitors)
- Preparing boardrooms for meetings (setting up tables / equipment, catering, clean up)
- Assisting with catering orders

**Skills and experience**
- 1-2 years of work experience as an office services clerk or in customer service, hospitality or a facility’s environment is an asset
- Excellent written and spoken communication skills in French and good grasp of English
- Excellent organizational and time-management skills, demonstrated ability to prioritize tasks according to their importance and urgency
- Ability to learn quickly and adapt to changing directives
- Demonstrated thoroughness and attention to detail
- High proficiency with MS Office suite (Word, Excel, Outlook and PowerPoint)
- Required to frequently lift, push, pull boxes or other objects of 40-50 lb
- Availability to work extra hours as needed
