The Human Resources Department supports the University of Winnipeg’s commitment to academic excellence & renewal; student experience & success; indigenization; research excellence, knowledge mobilization & impact; and financial & institutional resilience. Our core focus is to provide consultation, program development and key services to our faculty, staff and UW Community Partners through full-service people support.
The role of Employee Health and Wellness Assistant is a full-time continuing position that provides support to the Employee Health and Wellness Specialist (EHWS), primarily in administering sick leave, long-term disability, short-term disability, accommodation, attendance management, and workplace injuries, as well as collecting, maintaining, and evaluating statistics on all disability management related areas. The role also supports the EHWS with the coordination and facilitation of health and wellness-related events, committees, and with the preparation and implementation of accommodation/return to work plans.
**Responsibilities**:
- Sets up new sick leave, long-term disability, short-term disability, accommodation, attendance management, and workplace injury files, monitors cases and notifies appropriate individuals of updates or changes.
- Follows up with employees to ensure the appropriate medical documentation is received.
- Arranges accommodation planning and attendance management meetings, preparing documents to be used at the meeting and then circulating completed documents for signatures.
- Arranges and leads the bi-weekly sick leave meetings with the EHWS and Human Resource Consultants (HRCs); discusses sick leave and LTD updates
- Arranges quarterly attendance management meetings with the EHWS and HRCs, creates attendance management report and identifies potential mitigating circumstances.
- Creates and sends long-term disability paperwork to the employee and the insurer when an employee is on sick leave longer than 90 days.
- Monitors and tracks the University’s workplace injury and accommodation costs.
- Collects, maintains and evaluates statistics on wellness and disability management programs and services; makes recommendations on ways to improve or enhance associated services by analyzing data and identifying trends.
- Develops and maintains standard measures and metrics to track wellness and disability management program performance.
- Meets with employees, managers and union representatives as required to address sick leave issues (attendance management issues, medical information issues, accommodation, short-term disability, etc. Filing and record management.
- Handles all personal and personal health information in accordance with the Freedom of Information and Protection of Privacy Act (FIPPA) and the Personal Health Information Act (PHIA).
- Promotes the University’s Wellness and Sustainability account and identifies opportunities to leverage this benefit in support of health and wellness promotion. Approves wellness and sustainability account claims for payment.
- With guidance and support from EHWS develop and implements a “Wellness Week”, “Mental Illness Awareness Week” and other similar programs/education to support UW goals.
- Online and in-person moderator for Mind and Mental Health First Aid sessions facilitated by the EHWS.
- Coordination of meetings, events, and workshops.
- Assists with the implementation of employee accommodations and return to work under the guidance of the Employee Health and Wellness Specialist:
- Prepares and distributes resources and handouts.
- Coordinates with suppliers to source, procure, and implement accessibility tools and equipment.
- Retrieves, distributes, cleans, stores, labels, and records accessibility tools and equipment.
- Communicates with stakeholders as needed to implement accommodations.
- Provides direct assistance with an accommodation as assigned by the EHWS for a specific employee.
- Assists with the development and training to managers on the University’s accommodation policies and procedures.
- Assist with the facilitation of return-to-work meetings. Acts as a representative of the Health & Wellness team in the absence of the Health & Wellness Specialist
**Qualifications**:
- Post-secondary education or training in Human Resources, office administration, Disability Management and/or a related health-care field.
- 2 - 3 years of directly related experience working in a busy work environment.
- Experience working with collective agreements preferred.
- Knowledge of medical terminology preferred.
- Experience in developing and implementing health and wellness programs.
- Some direct experience in training in the relevant areas would be an asset.
- Experience in the creation of statistical reports and metrics.
- Ability to summarize/synthesize information and judge relevance of the information.
