Clearwater Seafoods requires an Executive Assistant ("EA"), Human Resources and Sustainability & Public Affairs. The position is a full-time permanent position located in Bedford, Nova Scotia. **Purpose of Position** The Executive Assistant will report to and work closely with both the VP, Human Resources and VP, Sustainability & Public Affairs, to provide administrative support, including proactive schedule management, support with presentations and communications, and managing internal and external meetings. In addition, the EA will coordinate with the rest of the organization, including other Executive members and liaise externally with representatives from government organizations and other companies as required, representing Clearwater. **Accountabilities** - Proactively maintain and organize VP, HR's and VP, S&PA's schedules and priorities. - Coordinate internally and externally with diverse stakeholders to set up meetings and video conferences. - Coordinate business travel arrangements. - Take meeting notes (action items) and ensure timely follow up and follow through. - Monitor office budget through accurate tracking of expenses. - Lead in the coordination and logístical set up of Executive meetings and other staff events including off site events as required. - Run reports, draft communications, and develop presentations. - Proofread presentations and communications. - Develop and maintain an accurate electronic and hard copy filing system. - Support the HR and S&PA team with administrative work (time permitting). - Perform other related administrative duties as required. - Backup for the Office Administrative Assistant (on Reception) as required. - Ability to think ahead and anticipate what's next. - Strong interpersonal and communication skills. - Ability to multi-task and meet deadlines. - Excellent planning, prioritization, and time-management skills. - Excellent judgment and decision-making skills. - Highly self-motivated and the ability to work independently. - Attention to detail. - Excellent written communication skills and superior proofreading skills. - Excellent technical skills, particularly in Microsoft Word, Excel, PowerPoint, SharePoint, and MS Teams. - Professional demeanor and ability to work effectively with co-workers and external stakeholders. - Ability to manage highly confidential matters professionally. - Must be willing to work flexible hours when required. **Working Conditions** - May be required to travel to Clearwater locations from time to time with the majority of the work taking place in Head Office. - Location: Bedford, NS - Environment: Hybrid, 2-3 days week in office, remaining days remote. - Vaccination Status: Covid-19 vaccination required as per company policy. - Schedule: M-F - Business Administration diploma or degree, or equivalent combination of experience and education. - Five years' experience working at an Executive administrative level, preferably with a global company. - Experience working in Corporate Communications and/or Human Resources an asset.
