Supporting the Senior Director of Food and Beverage, the Executive Assistant is responsible for the liaising and coordinating of information from the Senior Director to the Senior Managers, General Managers and Supervisors of the division. As an administrative and relationship role, the Executive Assistant is privy to most confidential Food and Beverage information and is responsible for the proper dissemination, organization and storage of such information.

**Primary Responsibilities**:
**Communication**
- Communicate and liaise with WB Senior Managers, General Managers, and their assistants and other members of the team.
- Act as a liaison between the F&B managers, suppliers, partners and sponsors.
- To ensure all verbal and written internal, external, incoming and outgoing correspondence are processed in an accurate, effective and timely manner.

**Administrative**
- Provide administrative support, including but not limited to; assisting in reconciling monthly credit card statements, submitting A/P & A/R invoices to the Finance Head Office, preparing monthly variance reports, ordering office supplies, photocopying, mail, etc.
- Understand financial reporting and basic accounting systems, including budgeting, payroll, expenses, A/P and A/R processes.
- Monitor the F&B unpayables queue in OnBase and coordinate resolutions as needed.
- Schedule, prepare packages for, attend and document F&B meetings for reference to the different leadership teams (including Senior Manager Meetings, General Manager Meetings, Strategic Planning Meetings, Capital Meetings, Special Projects, F&B Safety Committee Meetings, Chefs Meetings, etc).
- Tracking rebates and commissions income, and managing authorized passes.
- Scheduling of calendars, meetings and travel arrangements for F&B division.
- Organize divisional events and recognition.
- Provide support to all F&B Managers and Supervisors during peak times or when required.
- Provide support to other divisional Executive and Administrative Assistants and SLT members when required.
- Maintain and update all F&B internal information pages; The WB F&B SharePoint Page and Operations Update, uploading menus, links to special events, and general F&B information.
- Arrange mountain access and lift tickets for visiting clients.
- Maintain a comprehensive, user-friendly filing resource system.
- Other various tasks as assigned.

**Qualifications**:

- Proficient with computer software packages including Excel, Word, Powerpoint and Outlook.
- Previous exposure to PeopleSoft, Coupa, SharePoint, and OnBase an asset as well as Food & Beverage and administrative experience.
- Proven ability to build and sustain strong working relationships.
- Proven ability to maintain a high level of confidentiality.
- Excellent verbal and written communication skills.
- The ability to thrive in a fast-paced, multi-tasking environment and adapt to changing priorities with ease; remain flexible and approachable.
- Organizational, analytical and problem-solving skills as well as adaptability and the ability to work under pressure
- Ability to deal effectively with a wide variety of clientele and in a variety of situations
- Proven ability to work independently and within a team environment.
- Be detail oriented and highly organized
- Ability to establish priorities and manage the resulting workload
- Demonstrated ability to represent the division and the company in a professional manner
- Proof of satisfactory criminal record check
