The Admin Coordinator’s responsibilities will encompass a wide range of tasks, starting with intercepting initial real estate inquiries on behalf of our sales team, log all sales communication our CRM HubSpot, assist in prepping contracts, lease with homeowners on payment schedules and provide home build updates, as well as act as direct support to our marketing and sales teams.
**Profile Overview**
Reporting to the Director of Real Estate Marketing, the Admin Coordinator will play a pivotal role in ensuring smooth and successful interactions between Cabot and its future homeowners. You must thrive in a fast-paced environment, be super detailed oriented, great communication and have a strong attention to detail. The Admin Coordinator is a trusted teammate that always maintains confidentiality and exemplifies Cabot’s values of confidence, authenticity, humility, and warmth.
**Core Accountabilities**:
- Receive & respond to real estate inquiries
- Send real estate homeowner packages to interested clients
- Assist our sales team with staying organized and responding to all inquiries in a timely fashion
- Liase with property leads to set up site tours
- Assist in preparing contracts to be sent to homeowners
- Receive and file all contracts in HubSpot once deals have closed
- Provide timely updates to homeowners including construction development milestones
- Build and maintain master payment schedule plan calendars to ensure timely and effective communication to homeowners

- Proficiency in HubSpot
- Excellent oral and written communication skills
- Excellent organizational and time-management skills
- Proficiency in Microsoft Office (PowerPoint, Word, Excel)
- Disciplined approach to planning
- Ability to work independently and as a part of a larger team
**Education and Work Experience**
- 2+ years work experience in Administration or Communications
- Experience working for luxury and / or hospitality brands an asset
- Experience working in fast-paced environments under pressure
