NATURE OF THE WORK
- The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in their area.
- Under the supervision of the Manager of Student Services and in coordination with the professionals in the AccessAbility Centre, the employee provides direct services to students. In doing so, the incumbent takes into consideration the needs of the students as well as the established policies of the services and/or College.
- RESPONSIBILITIES- Greet students, faculty and the public efficiently and courteously;
- Screen and direct students and faculty to the appropriate person and/or service;
- Student intakes: provide information on registering, triage of online requests, scheduling of appointments, follow-up on no-show and/or cancelled appointments;
- Note-taking: assist with finding note-takers; verify documents (course schedules, accommodations, banking), create note-taker files in Staffing Requests; follow-up with students, HR and Payroll;
- Create, maintain and update student database files: upload documents and/or import information from CLARA;
- Assist with administrative details: obtaining IEP confirmations, sending accommodation letters, English Exit and final exams;
- Assist professionals with administrative tasks as needed;
- Assist with in-session exams when needed: printing, data entry, invigilation, escorting students for questions, etc.;
- Replacement in case of absence of ASA-I or ASA-II in the exam office;
- Invigilation during English Exit exam and Final Exam periods;
- Sort, file and return completed tests and exams daily from the main office;
- Register students for their tests/exams when necessary and follow up with teachers;
- Responsible for locker assignment and elevator pass distribution;
- Maintain office supplies and makes purchases when necessary;
- Handle petty cash, cheque requisitions and purchase orders;
- Perform other related tasks.

**Requirements**:

- QUALIFICATIONS
- To have a diploma of vocational studies (DEP) with appropriate specialty or have a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
- CONDITIONS- Advanced English oral and written communication skills (testing may be required);
- Intermediate French oral and written communication skills (testing may be required);
- Intermediate Microsoft Word and Excel skills (testing may be required);
- Excellent interpersonal and organizational skills;
- Demonstrated ability to work in a fast-paced environment with constant changing circumstances;
- Demonstrated ability to multi-task, prioritize tasks and handle a high volume of activity;
- Must be able to interact effectively with students who have a wide range of special needs as well as with faculty and parents;
- Must be able to work in a team setting as well as independently, to problem solve and exercise sound judgement;
- Must be able to maintain department standards with respect to confidentiality of information;
- Experience working with a database, an asset;
- Experience creating and working with forms and Adobe Pro, an asset.
