**Responsibilities**:
**Document Management**
- Organize and archive key documents, SOPs, and workflows from all SSC departments; assign unified codes and back up to cloud platforms.
- Process strategic files and meeting content into SOPs or actionable task lists for frontline teams.
- Establish and maintain a standardized system for file naming, classification, and archiving (e.g., Google Drive, Lark).
- Manage contracts, NDAs, authorization letters, and other compliance documents.
**Meeting Coordination**
- Assist in organizing efficient monthly OKR meetings and team meetings, and draft agendas, minutes, and follow-up trackers.
- Set meeting reminders and coordinate attendance.
- Convert meeting outcomes into actionable tasks, track progress, and escalate issues promptly.
**Approvals Mangement**
- Manage and continuously optimize internal forms for budget, attendance, and leave; promote digital and automated workflows.
- Summarize key daily approval requests and report exceptions regularly.
- Review reimbursement documents and coordinate with finance.
**Fixed Asset Management**
- Monthly updates on office asset inventory using automated ledger systems.
- Report on asset utilization and cost-effectiveness of procurement.
**Office Supplies Procurement**
- Consolidate monthly departmental expense requests and analyze fixed vs. flexible spending.
- Work with finance to control unnecessary costs and establish an early warning mechanism for procurement.
- Follow approval processes to purchase items, avoid waste, and reconcile procurement records.
**Equipment Managment**
- Conduct quarterly equipment audits; track usage and warranty expirations.
- Log malfunctioning equipment and coordinate repairs.
**Invoice & Receipt Management**
- Maintain an invoice/receipt register with scanning, archiving, and numbering.
- Collaborate with finance to ensure audit-compliant reimburs
