This role encompasses a variety of responsibilities including administrative tasks, accounting/bookkeeping, creation of internal service invoices, directing repair and scheduling of lot vehicles, ensuring timely completion of tasks, and creation of licensing documents. **Responsibilities**:
- Assist in day-to-day administrative tasks such as filing, data entry, and minor correspondence.
- Efficiently enter bills and invoices
- Generate and process internal service invoices accurately and in a timely manner.
- Collaborate with the service department to ensure all billable services are accounted for
- Coordinate the repair and maintenance schedules for vehicles in the lot
- Communicate with technicians and service advisors to prioritize repairs
- Ensure that all tasks are completed on schedule and within deadlines.
- Proactively identify potential delays and implement solutions to mitigate them.
- Create and manage licensing documents for vehicles
- Ensure all necessary paperwork is completed accurately and submitted promptly.
**Requirements**:
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in accounting/bookkeeping principles and software (e.g., QuickBooks).
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of automotive industry procedures and terminology (preferred but not required).
**Job Type**: Part-time
Pay: $17.76-$22.00 per hour
Expected hours: 20 per week
