Operations & Communications Assistant (Summer Student) (FT, 35 hours/week, 8-12 weeks)

The Ontario Brain Injury Association (OBIA) is a charitable organization. Our mission statement is “to enhance the lives of Ontarians living with the effects of Acquired Brain Injury through Education, Awareness, and Support.”

Reports To: The CEO and/or Designate

Overview: The Operations & Communications Assistant (Summer Student) contributes to the organization's day-to-day operations and provides administrative support to the organization. Promotion of OBIA’s FREE programs and services for people living with concussions/brain injuries including, the 1 800-263-5404 Helpline, Online Support Groups, Peer Support Program, Return to Work after Brain Injury, Brain Injury Speaks & Resources, and increasing participation in OBIA’s Research Project

Duties and Responsibilities:
1. Establish and maintain relationships with other sectors to promote OBIA’s FREE programs and services, including Medical, Rehabilitation, Legal, Insurance, Social Services, etc.

2. Distribute brochures and marketing materials to both existing and potential partners.

3. Respond to general inquiries, providing brochures, information, and other collateral materials as requested.

4. Draft, review, and send communications on behalf of the organization, ensuring they align with OBIA’s objectives and tone.

5. Assist in organizing fundraising events, Brain Injury Awareness Month activities in June, and other special projects.

6. Support the quarterly publication of the OBIA Review magazine, including content review and final preparation.

7. Contribute to the creation and distribution of monthly e-blasts, marketing materials, and updates for social media accounts and the website, ensuring all content is current and relevant.

8. Assist with the setup and documentation of staff meetings, board meetings, Annual General Meetings, committee meetings, and other related gatherings, including taking detailed meeting minutes.

9. Help maintain accurate and up-to-date contact lists, organizational by-laws, policies, and procedures, and assist with preparing reports and presentation materials.

11. Receive, sort, and distribute incoming mail, ensuring timely processing and forwarding to the relevant departments.

12. Program the telephone system, manage voice mailboxes, and provide training to the team on its proper use.

13. Support the coordination and execution of training programs, including managing registration, marketing and promotional materials, IT setup, and post-training reports.

14. Assist with the Brain Injury Impact Study, including dissemination, follow-up, processing of complimentary memberships, and sending out confirmation letters, membership, and survivor cards.

15. Provide general administrative support and carry out other duties as assigned.

Eligibility: To be eligible, applicants must:

- Be between 15 and 30 years of age at the start of the employment;
- Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of employment;
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations; *International students are not eligible. Qualifications: Education, Skills and Abilities
- Current enrollment in Communication, Business Administration, Marketing/Public Relations and or Events Management (Bachelor or Certificate Program) at an accredited post-secondary institution
- Strong interpersonal skills, written and oral communication skills with an ability to document technical information
- Self-motivated, Self
- directed, personable and well-organized
- Professional
- Expertise in using Microsoft Office and online survey software
- Good understanding of modern technology, with an ability to learn new technologies
- Ability to work collaboratively in a team environment and communicate effectively
- Flexible, self-motivated and driven to make an impact
- Passion for OBIA’s mission and an interest in concussion/brain injury
