The Volunteer Services Assistant provides clerical and reception support to the Volunteer Services Department.

The Volunteer Services Assistant is the first point of contact for Volunteers, Patients, Clients and families. The

Volunteer Services Assistant is responsible for building good rapport with Providence Care and community

stakeholders, provide clear communication, and maintain accurate record keeping. As an employee, one must

demonstrate an awareness of and be responsible for actively promoting and supporting person centered

engagement and care in all we do.**

**Role Responsibilities**

  • Provides administrative support for the Director and Coordinator of Volunteer Services. This includes

but is not limited to: drafting, compiling, transcribing, typing and distributing letters, memos, reports,

agendas and minutes.

  • Maintains volunteer records in the department’s database and hard copy file system.
  • Arranges meetings and coordinates calendars as appropriate. Book space and equipment as required for

training and meetings. Coordinates catering and room set up for functions and meetings.

  • General office administration: prepares and processes maintenance, printing, stores and cheque

requisitions; orders and maintains inventory of stationary and other supplies.

  • Schedules replacement volunteers into program according to identified program placement.
  • Provide reception functions to the department including walk in and telephone queries.
  • Greet visitors/staff/volunteers.
  • Schedules Patient Assistants and Patient Assistant Coach’s, as well as submits payroll for these

employees.

  • Adheres to the worker responsibilities as set out in the Occupational Health & Safety Act, hospital safety

policies, and dept/unit established procedures at all times. Where possible, take corrective action to

address a hazard, otherwise report the unresolved hazard, dangerous circumstance, unsafe situation to

self, other co-workers or the community, to their supervisor. Should the employee suffer a workplace

injury or illness, he/she will advise their supervisor; actively participate in identifying and resolving the

underlying cause(s), and participates in early and safe return to work as per Workplace Safety &

Insurance Act.

  • Understands and is familiar with all pertinent Providence Care policies and procedures including those

relating to workplace conduct. Complies with the Providence Care Commitment to uphold the

Workplace Conduct and Reporting of Inappropriate Conduct policy and behaves in a manner that is

consistent with the guiding principles and expectations.

**Required Qualifications and Experience**

  • Two year Office Administration diploma from a recognized college program; equivalent combination of

education and experience may be considered

  • One year recent related clerical experience.
  • Experience working with volunteers, preferred
