Managerial Assistant

As the Managerial Assistant you will provide senior level administrative support to the Manager of Human Services & Innovation to ensure a structured and organized operation that meets the goals, objectives, and commitments of the branch, creating and maintaining professional rapport with all internal and external contacts.
**This posting is for 1 temporary full-time position up to 3 years
**Responsibilities**:
- Act as a first point of contact for the Manager's office; use discretion and judgement regarding the flow of information; evaluate incoming issues requiring immediate attention; and, develop preliminary action plans, acting independently as required
- Oversee specialized projects from start to finish (i.e. community-wide training sessions, take new program workflows and develop new corporate forms and waivers ensuring they meet Strathcona County standards)
- Research and compile statistical reports requiring a comprehensive knowledge and understanding of casework database (NewOrg)
- Research, compile, and coordinate information to prepare professional documentation including presentations, proposals and correspondence in a timely and confidential manner adhering to County standards.
- Prepare various contracts, legal agreements, leases, extensions, requests for proposals, requests for quotations, etc., ensuring completeness and compliance with required authorizations. Compile specifications and supporting schedules as required.
- Develop innovative administrative processes/practices, recommend, and assist with implementation for branch effectiveness
- Problem solve complaints, respond to and follow-up on inquiries about services, venues, policies, procedures, operations, inter-government affairs, contracts, licenses and legal documents
- Initiate payment vouchers/purchase order/change orders and request new vendors and suppliers Assist in the administration, coordination, preparation and execution of government grants and contracts

- Knowledge of administrative principles and practices
- Excellent interpersonal, customer service and communication skills (verbal and written)
- Excellent time management skills, ability to manage multiple tasks all with mínimal supervision
- Ability to handle confidential information with a high degree of judgement and discretion
- Ability to work independently, with flexibility and adaptability
- Proficiency with Microsoft Office 365 and Adobe Ability to set and enforce clear boundaries
**Qualifications**
- High School diploma with five years of diversified office administration experience
- Diploma or certificate in office administration is an asset
- Municipal government experience in a related role is preferred; experience working in a Social Services setting would be considered an asset Experience working with Microsoft office suite is required
**Conditions of Employment**
- Submission of a Satisfactory Vulnerable Sector Check and Child Intervention Record Check Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits
Equivalencies of education and experience may be considered.
