Reporting: This position reports to the Property Manager.
Renumeration: Salary of $45,000, net, paid bi-monthly. There are no benefits being offered with this role. This is an independent contractor role that is permanent and full-time.
Working hours: Monday - Friday, 8am - 6pm, and/or work hours as needed to meet the demands of the business. Some flexibility will be needed for month-end as occasional weekend work may be required - time off in lieu will be provided.
Position Overview: The Property Coordinator plays a key administrative and operational role in supporting the day-to-day management of residential or mixed-use properties. Reporting to the Property Manager, the Property Coordinator ensures smooth communication between tenants, vendors, and management, while maintaining the highest standards of customer service, compliance, and organization.
Primary Responsibilities:
**1. Tenant Relations**
- Act as the primary point of contact for tenant inquiries, complaints, and service requests.
- Follow up on lease renewals
- Move in inspection with new tenants
- Assist with tenant onboarding, including collection of documents, proof of insurance, proof of Utilities and key handovers.
- Issue notices related to inspections, rent increases, and policy violations.
**2. Lease Administration**
- Track lease expiration dates and coordinate timely renewals.
- Prepare and distribute lease renewal documentation, addendums, and amendments.
**3. Maintenance Coordination**
- Receive and log maintenance requests; prioritize and dispatch to vendors or internal technicians.
- Schedule regular unit inspections, move-in inspections, and maintenance work.
- Follow up on service completion and ensure tenant satisfaction.
- Maintain records of all service work and vendor invoices.
**4. Administrative Support**
- Assist Property Manager with reporting, communications, and property-level documentation.
- Update property management software with tenant, lease, and maintenance data.
- Prepare correspondence including notices, memos, and community updates.
- Manage the distribution and collection of access devices (keys).
- Program intercom on move ins
**5. Vendor & Contractor Coordination**
- Liaise with approved contractors and service providers for quotes and service appointments.
- Confirm work completion
**6. Compliance & Safety**
- Assist in ensuring the property complies with local building codes, health and safety regulations, and landlord-tenant legislation.
- Issue notices of entry
- Report safety hazards and assist in emergency response coordination.
**7. Customer Service & Community Engagement**
- Provide a welcoming and respectful environment for residents.
- Support community-building initiatives like community garden, park and play
- Handle escalated concerns professionally, ensuring prompt and effective resolution.

- Strong communication and excellent listening skills to deal with tenants, property owners, and any other maintenance staff
- Excellent attention to detail and strong organizational & multi-tasking abilities

Required qualifications & experience:
- Must have at least 1 year of property management experience
- Must have knowledge of Yardi
