**POSITION PROFILE**:
The Residential Property Coordinator is responsible for overseeing the comprehensive coordination and operation of a portfolio of multi-family rental properties. This role blends office administration with fieldwork and serves as a primary point of contact for prospective and existing tenants. Responsibilities include file and report maintenance, budgeting, property inspections, marketing, meeting with and vetting potential tenants, preparing properties for leasing, and ensuring tenant satisfaction. The Property Coordinator embodies Calbridge's vision of enhancing communities through exceptional living spaces, aligned with the mission of delivering quality homes and superior service while adhering to the company’s values.

**The Residential Property Coordinator’s responsibilities include**:

- ** Tenant Relations & Leasing**:

- Work closely with potential residents to understand their needs and help them find a suitable property in the portfolio.
- Secure leases by showing properties, assisting customers with paperwork, and ensuring all files are complete and entered into property management records.
- Build positive relationships with current residents to maintain high satisfaction and occupancy rates.
- Conduct periodic market analysis on local rental trends and comparable properties, and provide summary reports on applicable data.
- ** Property Maintenance & Inspections**:

- Conduct regular inspections to ensure compliance with lease terms and property standards, documenting conditions with photos and reports.
- Coordinate property preparation for make-ready and leasing, including scheduling repairs, cleaning, and maintenance.
- Serve as the primary contact for tenant concerns, addressing issues quickly to ensure satisfaction.
- Manage day-to-day maintenance requests, delinquency management, and lease renewals.
- Ensure timely and accurate completion of maintenance tasks, including collaboration with the Building Maintenance Technician and vendors.
- ** Administration & Reporting**:

- Maintain accurate records of property operations, contact information, tenant interactions, and financial data to support accounting and prepare regular financial reports.
- Prepare tenant welcome packages and maintain updated reports of property activity.
- Participate in regular inspections and tenant meetings, ensuring that property conditions and operations meet company standards.
- Support administrative tasks, including invoicing, filing, processing incoming mail, and maintaining insurance certificates.
- ** Budgeting & Financial Management**:

- Assist with annual budgeting and financial reviews, monitoring income and expenses to ensure properties operate within or under budget.
- Review monthly financial reports for discrepancies and explain budget variances.
- Ensure timely payment of invoices and accurate financial record-keeping.
- ** Marketing & Community Engagement**:

- Promote properties through various channels such as advertising, social media, and networking to attract tenants.
- Ensure a strong market presence and maintain positive community relationships.
- Contribute to the overall success of the residential portfolio by identifying and implementing process improvements and strategic recommendations.

Qualifications & Skills include**:

- Minimum 3 years of experience in property management, preferably in multi-family rental properties.
- Degree or certification in Property Management, Real Estate, Business Administration, or a related field.
- Strong knowledge of municipal housing laws, lease agreements, and regulations.
- Experience with property management software, and proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Basic knowledge of accounting and financial reports required, and experience with Sage accounting software, considered an asset.
- Excellent interpersonal and communication skills, with a proven ability to build relationships with tenants, vendors, and team members.
- An ability to listen and respond to issues in a respectful manner maintaining the dignity of others.
