**Position Summary and Scope of Service**:
The Operations Assistant exemplifies and promotes the spirit of the Mission and Values of St.Amant and the goals and objectives of the Operations Service Area through the provision of indirect support services to individuals receiving services from St.Amant. Reporting to the Director, Operations, the Assistant supports the service area with various duties and responsibilities related to property management. The Assistant understands the delivery of services are consistent with legislation, regulations, policies, procedures, and service area protocols where applicable, and for timely and efficient scheduling to ensure the work coordinated will meet high standards and support the client care needs on a day-to-day basis.

**Qualifications**:
Educational:

- Grade XII diploma or certificate.
- Post-secondary education in a related field.
- Courses or certification in Property Management, Communication, and/or Office Technology an asset.
- Bilingual in both French and English is a definite asset.

Professional:

- Excellent computer capabilities with experience and proficiency using the Internet and MS-Office (Word, Excel, Outlook)
- Knowledgeable and experienced in the operation and use of modern office equipment
- 3 years' experience in a fast-paced, multi-disciplinary work environment with a proven high standard of customer satisfaction
- Knowledge of commercial building infrastructure operation and Commercial Building Codes would be an asset.

- Ability to work evenings and weekends, as required

**Duties and Responsibilities**:
Duties include:

- Assists to prepare scheduled and periodic reports on facility operations and projects
- Collects statistics and information to support provision of quality services
- Maintain Project Plans and files on all projects - paper and electronic
- Prepare minutes / reports as required
- Provide Annual Budget Development coordination
- Assigns/dispatches work orders through HIPPO software. Updates/closes work orders through HIPPO software.
- Updates and maintains HIPPO work order and Property Management database information
- Processes all Access Card Requests once authorized
- Processes all Request for Keys once authorized
- Processes all Use of Facility Requests before and after authorization
- Coordinates transition and maintains a new Key Management Software Program
- Reconciles invoices. Codes, enters into reports/databases, as needed.
- Prepares minutes / reports as required
- Processes all Facility & Environmental Services Purchase Order Requests
- Processes standing orders for Facility Services consumables
- Provides GPPM & Service Area Policy development support
