**Position Details**
- The University of Lethbridge is seeking a full-time, continuing Administrative Manager.

This position will be proactively engaged in virtually all of the following major efforts on a daily and weekly basis throughout the year:
**Budgeting**:
Develop and report on Gallery Annual Budget with the Director/Curator. Oversee expense payments and revenue collections. Advise on changes in priorities, emergency expenses, and one-time events. Manage all Gallery operations pertaining to quotes, requisitions, and payments for goods, services, and professional fees. Routinely provide financial and asset audit support to Financial Services.

**Personnel**:
Oversee day-to-day staffing in compliance with ULethbridge HR practices and standards for 6 - 10 permanent and staff, including: timesheet approvals, vacation scheduling, illness and leave provisions, workplace welfare, and position assessments. Coordinate procedures for new hires, position replacements, orientation, and training. Conduct casual and term hiring’s together with the Director/Curator. Maintain employment records for current and past employees to University records standards.

**Grant Writing/Reporting**:
**Art Collections, Art Exhibitions & Art Loans**:
Collaborate with the Director/Curator and Gallery Registrar to establish standards, fees, and necessary contracting to provide for incoming and outgoing artwork loans. Monitor active Art Loan Agreements to ensure that fiduciary, trust, and legal obligations are completed by all parties and allocate Gallery resources to that end. Directly arrange invoicing for outgoing art loans or payment for incoming art loans. Maintain high standards of recognized cultural property practices in connection to handling, packaging, crating, storing, shipping, and security of art and related cultural or archival objects. Collaborate with University Risk and Insurance officers to maintain appropriate fine art insurance for collections, loans, and transport of art.

**Decolonization and Anti-racism**:

- Collaborate with the Director/Curator and University initiatives to increase institutional capacity in museum and work place practices that addresses the TRC calls to action, creates meaningful paths towards reconciliation, and addresses systemic underrepresentation of equity deserving artists/voices/works.

**Infrastructure & Facilities Projects**:
Oversee projects developed in connection with the Gallery’s mission and exhibition schedule including: construction of installations to Artist or Curator’s specifications, procurement and installation of fixtures, furnishings or technology, engagement of third party contractors, artists or employees, exhibitions, or programs in off-campus spaces. Monitor and advise on facilities maintenance projects for renovation or upgrade of art storage and exhibition spaces, especially as connected to the security, environmental standards, safety, and access for art collections.

**Campus Support & Other Duties**:
Collaborate with other University departments on projects of value to the larger campus community. Advise or lead on campus art and sculptural installations that are separate from Gallery operations. Coordinate multi-department operation of shared-resource programs. Represent the Gallery, as authorized by the Director/Curator, to external agencies or projects.
- The University of Lethbridge is undertaking a job classification and compensation review for Administrative Professional Officer (APO) positions. As such, the salary range currently assigned for this position may be adjusted as a result of this project.

**Position Qualifications**

Any education, training or workplace experience in art handling, database usage, cultural sector practices, or art conservation, would be a major asset.
- small project management, spreadsheet and planning software experience; budget management experience;
- working with financial spreadsheets and planning software;
- excellent reading and writing skills, with grant writing experience;
- Risk Management and workplace safety.

A valid unrestricted Class 5 Driver’s License with no more than 6 demerits and submission of a motor vehicle record (driver abstract) dated within 3 months of the posting close is required.

**Starting Salary Range (at 1.0 FTE)**
- $54,729.56 - $68,849.69
