_**Nature and Scope of Work**_

Reporting to the Executive Director (or designate), the Registration Administrator is responsible for maintaining, with confidentiality and discretion, all records and correspondence related to the Childcare Registration systeM/Function and supporting registration for other North Shore Neighbourhood House programs including but not limited to recreation, fitness, seniors programs, children’s programs, farm programs and bus trips.

The position is responsible for all aspects of documents, transactions and records impacting registration and childcare waitlist along with correspondence with parents, childcare centres, clients, managers, accounting department and Executive Director.

The following tasks may vary from time to time with the evolution of the organization and may include and are not limited to the following:
1. Provide comprehensive services to facilitate timely and accurate childcare enrollment

2. Manage the intake, registration, and enrollment process for new and returning daycare and out of school care children;
3. Manage registration changes, cancellations and withdrawals

4. Provide information and assistance to parents and guardians on matters pertaining to childcare registration

6. Support the accounting department by providing enrollment, withdrawal and all other relevant registration information as required

7. Design, maintain and deliver childcare camp registration

8. Correspond professionally with clients and staff to provide timely and accurate information about registration;
9. Maintain the waitlist and registration database with accuracy; enter and update enrollment data promptly; monitor and track registration deadlines, waiting lists, and available program slots

10. Maintain an ongoing and current understanding of enrollment rates and vacancies at every childcare centre by license

11. Support childcare licensing and operating funding reporting as required

12. Support recreation and fitness registration and reporting as required

13. Operate the point of sale for the purpose of facilitating registrations and registration changes

14. Maintain a variety of statistics, files, records and lists related to the work performed;
15. Prepare and maintain a variety of related reports as requested;
16. Work with the IT department as required on proprietary software

17. Perform registration related work and projects as requested.

**Required Knowledge, Abilities & Skills**

The childcare accounts Administrator for North Shore Neighbourhood House shall have the following competencies:
1. The ability to work effectively within a team environment;
2. The ability to communicate effectively internally as well as externally with the clients of the accounting services and outside third parties;
3. A demonstrated commitment to customer service;
4. The ability to analyze procedural and system problems and make effective recommendations;
5. A demonstrated knowledge of services and policies of North Shore Neighbourhood House;
6. The ability to decisively coordinate and process the various types of transactions;
7. The ability to think critically for reasoned decision making

8. The ability to organize and prioritize tasks in order to meet strict deadlines;
9. The ability to respond to changing technology;
10. Proven intermediate to advanced skills managing data and producing reports using Microsoft Excel

11. The ability to maintain, in the strictest confidence, information received concerning confidential matters, as well as a high degree of professionalism and diplomacy;
13. The desire and the ability to engage in continuing education and skills upgrading.

14. Fluency in English, both written and verbal
- **Desirable Training and Experience**_
- Grade 12 graduation plus a minimum of two years’ experience working in a computerized business environment
- Working knowledge of Microsoft 365; intermediate to advanced skills managing data and producing reports using Microsoft Excel; Quickbooks experience is an asset
- Fluency in English and excellent written and verbal communication skills.
- Strong attention to detail.
- Ability to prioritize and manage multiple responsibilities.

Required Licenses, Certificates and Registrations
- Criminal record check is required.

**Job Types**: Part-time, Permanent

Pay: $25.58 per hour
