The Owner Care Coordinator is responsible for all administrative tasks within the Owner Care department, including but not limited to, processing homeowner paperwork, booking trade partners and Owner Care technicians for warranty work, data entry of Tarion lists into Newstar, main point of contact for purchasers after point of sale. To excel in this role, you must possess a high degree of organization, time management skills and tolerance of stress. Frequent updating to the ERP system is also required.

Specific Responsibilities:

- Provide front-line support to purchasers on behalf of Owner Care team
- Working directly with the Manager, Owner Care, provide superior customer service in relation to the move-in and warranty experience for Phelps’ purchasers
- Update, track, control and maintain organized customer service documents and files
- Co-ordinate and schedule repair appointments for trades and homeowners; ensure accuracy of paperwork issued to trades to avoid delay of service
- Respond and assist in resolving all service/warranty inquiries; log notes in Newstar for accurate follow up and tracking
- Respond and follow up on all emergency calls during regular business hours
- Through Newstar process customer service work orders as required
- Assist with and communicate with direct trade partner and customer enquiries as necessary
- Provide administrative/clerical services for the Owner Care team as directed
- Maintain job files (electronic and hard copy) as required for Owner Care
- Maintain calendars, process schedules and service database (in cooperation with the Manager, Owner Care)
- Prepare and assist with purchase orders, completion slips, back-charge notices, sort packing slips and similar field generated paperwork
- Prepare agendas and minutes from site staff meetings
- Communicate with Phelps Solicitor, sending appropriate documents for closing

**Requirement**:

- Accuracy and attention to detail while working under tight deadlines.
- Excellent communication skills both verbal and written
- General understanding of computerized accounting systems.
- Excellent working knowledge of Microsoft Office products.
- Assertive, comfortable communicating with various types of individuals.
- Good interpersonal and customer service skills.
- Good team player.
- Ability to follow through and complete overlapping projects.
- Good organizational, time management and prioritizing skills.
- Strong problem identification and problem resolution skills.
- High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts

**Education & Experience**:

- Previous new home construction experience considered an asset
- 2-4 years administrative experience
- Excellent working knowledge of Microsoft Office products
- Excellent computer skills
- ERP (Newstar) knowledge an asset

**Working Conditions**:

- Mix between Construction Site & office atmosphere
- Requires manual dexterity for data entry
- Ability to sit for long periods of time
- Overtime as required.
