In your role as an Office Manager, you will be responsible for managing the Inside Sales and the team supporting this. Reporting directly to the General Manager, you will oversee sales orders through out the pipeline, monitoring the success of both the team and the product in meeting the target margin profits. You will assist the team in working directly with the client to provide the information and quotes requested. You will also work closely with the Project Coordinator and other internal stakeholders while interacting regularly with contractors, suppliers, freight companies, fabricators and all other project partners. Practically speaking, here's what you'll do on a day-to-day basis
Office Manager
- Manage the inside sales office department and team, Project Coordinator and Office Administrator.

Inside Sales Management
- Lead, organize and support the Inside Sales team to provide excellent service in daily operations
- Oversee sales orders from start to finish, to manage and maintain our target profit margin on all stock, custom and special-order material.
- Maintain accurate inside sales pipeline and present at monthly sales meetings

Customer Relations
- Respond to customers’ queries regarding products
- Create and send out quotes with necessary revisions and additions
- Understand customer needs and requirements and identify suitable products for their project to assist them in making the right decision
- Prepare samples in advance as per customer requests and schedule a time to review these with customers
- Update clients regularly of order status as it moves through the production phases
- Ensure COD accounts are up to date and collect payment from customers who do not have an account for deliveries or pick-ups
- Prioritize, organize and oversee sales orders in queue by communicating and corresponding information boards daily using Trello
- Prioritize, organize, and oversee yard sales orders in queue by communicating and updating the Yard Team on incoming orders from suppliers and fabricators, as well as Customer revisions as needed
- Work closely with General Manager of pricing of custom orders
- Manage delivery of materials to customers

Salt Operations
- Organize the follow up of current salt customers together with Business Development Manager and Inside Sales team.
- Manage all salt contracts
- Prepare quotes for customers
- Arrange delivery of loads with salt suppliers together with the Supply Chain Manager
- Monitor weather and coordinate with Marketing accordingly to notify customers of open hours
- Organize night shift schedule at the beginning of the season

Yard Customer Service
- Audit and update sold areas on a monthly basis
- Prioritize all sales orders needed to be pulled for customer pick-ups and deliveries and communicate this in the morning huddle.
- Perform a quarterly Sold Area audit
- Help customers in the yard when necessary
