Assistant SPA Manager

**Responsibilities**:
- Reporting to the Spa Manager.
- Support the Spa Manager in the daily operation of the spa and fitness facility and responsible in the absence of Spa Manager.
- Perform spa and fitness facility rounds to ensure employee, resident, and guest safety.
- Assist with retail product research, product selection and purchasing, product display.
- Assist with monitoring and record keeping of store sales, cost payroll and profits.
- Assist with maintaining supply inventories and purchasing control on a monthly basis.
- Maintain cleanliness of spa and related areas and equipment.
- Coordinate special services for groups including group gifting programs, group amenities, group turndown gifts, letters, and invitations, creating special spa services for specific groups and spa contract addendum negotiation.
- Strive to maximize the financial performance of the department.
- Research, identify and recommend new products and product enhancements to remain competitive in the market.
- Maintain a positive, attentive and relaxed atmosphere to enhance and exceed the guest experience and expectations.
- Empower colleagues to provide exceptional guest service.
- Assist with utilizing and reviewing all guest feedback obtained from varying avenues to identify areas of improvement.
- Assist the Spa Manager in ensuring all spa employees are adhering to the Forbes Standards.
- Ensure all operations are in full compliance with local health and safety codes.
- Apply, observe and enact workplace safety standards.
- Maintain open and collaborative relationships with all spa employees and across other departments within the hotel.
- Assist in supervise the spa employees and work as a mediator on any staff-related issues.
- Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs.
- Fulfill all client services in a professional customer service and make sure all staff employees are doing the same; participate in and promote marketing activities. Communicate regularly and efficiently with spa manager on all operational aspects.
- Check in/out guests for appointments, complete spa orientation upon arrival and collect payment upon departure.
- Schedule services for individuals and large groups using the spa reservations software system.
- Call both guests and service providers to confirm scheduled services. Answer questions about available services, promote and sell spa services and/or products.
- Update the reservations/cancellations list throughout the day, inform providers of last-minute changes, and resolve scheduling issues as needed by working with supervisor/manager.
- Notify Engineering of maintenance/repair needs and report accidents, injuries, and unsafe work conditions to manager.
- Encourage colleagues’ feedback by utilizing an “open door” policy.
- Follow all company policies and procedures; ensure uniform and personal appearances are clean and professional; maintain confidentiality of proprietary information; protect company assets.
- Undertake other ad hoc related responsibilities, as required.
**Qualifications**:
- Hotel Management Degree or Industry related Certificate, a strong asset
- 2-3 years’ experience in a similar capacity
- Familiarity with operating, booking and software systems
- Excellent administrative, interpersonal, organizational, written and verbal communication skills
- First Aid and CPR a strong asset
- Must be available to work evenings, weekends and holidays
- Must be eligible to work in Canada
