**Responsibilities**:

- Greeting clients, contractors, suppliers, couriers and other delivery personnel in a warm and professional manner.
- Answering, filtering and directing incoming calls to appropriate person.
- Provide administrative support to management.
- Process incoming/outgoing mail.
- Send and receive general office correspondence.
- Preparing and assembling documents.
- Process invoices.
- Assisting with administration of all office functions that are assigned.
- Knowledge of spreadsheets and word processing documents.
- Ability to create and manage an organized filing system.
- Operate and maintain office machinery, including copiers, fax machines and printers.
- Maintaining office supply inventory and cleanliness of supply room.
- Maintain telephone system.
- Miscellaneous duties as assigned.

**Tarion Coordinator**
- Coordinate all Tarion warranty-related activities, including scheduling repair work with trades, arranging unit access with owners and/or property management, and addressing any questions or concerns from unit owners or property managers.
- Input Pre-Delivery Inspections (PDIs) into H.O.M.E.S. software and distribute deficiency reports to relevant trades (for new condominium units).
- Monitor and track the Common Element Performance Audit Tracking Summary (PATS) report in accordance with Tarion requirements.
- Manage 1-Year and 2-Year Tarion warranty submissions, including scheduling repairs and maintaining communication and follow-up with unit owners.
- Perform additional related tasks as required.

**Requirements**:

- 2+ year’s experience as a receptionist or office assistant.
- Warm personality with strong communication skills.
- Exceptional customer service skills and professional phone manner
- Ability to work well under limited supervision.
- Have a valid driver license and own vehicle.
- Highly competent in MS Office Products (Word, Excel, PowerPoint, Outlook)
- Proficient keyboarding skills.
- Excellent command of the English language, both oral and written.
- Exceptional time management and strong organization skills.
- Discretion, diplomacy and confidentiality displayed at all times.
- Adaptable and able to work with multiple personalities within a collective team environment.
- Ability to multitask.

**Job Types**: Full-time, Permanent

Pay: $20.00-$24.00 per hour

Expected hours: 40 per week
