We are currently seeking a proactive, detail-oriented **Office Assistant** to join our team. This role is essential to the smooth operation of our daily office activities and plays a pivotal part in supporting both our administrative and customer service functions.
**Position Summary**
**Key Responsibilities**
- Answer and direct incoming phone calls in a professional and courteous manner
- Assist with scheduling, dispatching, and coordinating technicians and job assignments
- Perform data entry and maintain accurate records in our CRM and job management systems
- Create, edit, and manage documents using Microsoft Office (Word, Excel, Outlook, etc.)
- Process and track invoices, payments, and other accounting tasks in QuickBooks
- Support the office manager with file organization, customer correspondence, and supply inventory
- Follow up with clients, insurance contacts, and vendors as needed
- Maintain confidentiality and professionalism in all interactions
- Perform other administrative duties as assigned
**Required Qualifications**
- High school diploma or equivalent; associate degree or higher preferred
- 2+ years of experience in an office or administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience using CRM software and data entry systems
- Working knowledge of QuickBooks (Desktop or Online)
- Excellent verbal and written communication skills
- Strong attention to detail and organizational skills
- Ability to multitask and prioritize effectively in a fast-paced environment
- Positive attitude and team-player mindset
**Preferred Qualifications**
- Prior experience in the restoration, construction, or service industry
- Familiarity with ServiceMaster systems or industry-specific software

Pay: $45,220.98-$62,896.54 per year
