Head of Maintenance

**Job Summary**

**Position Details**:

- **Position Title**: Head of Maintenance
- **Reports To**: General Manager
- **Location**: The Clemow, 265-275 Carling Avenue, Ottawa
- **Employment Type**: Full-Time
- **Vacation**: 4% vacation pay (equivalent to 10 days annually)

**Responsibilities**:
As Head of Maintenance, you will oversee and perform all activities to ensure the safety, functionality, and comfort of the property. Below is a detailed breakdown of your responsibilities:
**1. Daily Tasks**
- Conduct walkthroughs of the entire building to identify and address maintenance needs, safety concerns, and general upkeep requirements.
- Perform snow removal from pathways, entrances, and common areas, ensuring safety during winter months.
- Complete in-suite and common area repairs, such as plumbing issues, leaks, clogged toilets, electrical problems, and mechanical failures.
- Handle graffiti removal, vandalism repairs, pest control, and any external property damage promptly.
- Address unpleasant odors or suspicious activity reported within the premises and escalate concerns to management if necessary.
- Conduct basic cleaning tasks in critical areas when required to maintain cleanliness and safety.
- Ensure elevators, hallways, staircases, and emergency exits are functional, clean, and accessible at all times.

**2. Unit and Suite Management**
- Ensure all show suites and vacant units are in pristine condition, ready for prospective tenant tours.
- Oversee unit turnovers, including painting, repairing minor damages, replacing flooring or fixtures, and ensuring thorough cleaning to meet company standards.
- Complete inspections (daily, quarterly, and during tenant move-ins and move-outs) to assess unit quality and compliance with building standards.
- Regularly inspect tenant units for safety compliance, ensuring smoke detectors and other required devices are functional.

**3. Fire and Safety Compliance**
- Maintain the fire logbook, ensuring accurate and timely entries for daily, weekly, and monthly inspections.
- Conduct routine inspections of fire equipment, including alarms, extinguishers, sprinkler systems, and emergency lighting.
- Ensure all stairways, fire escapes, and emergency exits are clear and accessible.
- Schedule and supervise fire safety training for the team and coordinate with contractors for advanced checks or repairs.

**4. Preventative Maintenance**
- Monitor and maintain property infrastructure, including water tanks,heatpump systems, sump pumps, and elevators.
- Develop and execute preventative maintenance plans to minimize system breakdowns.
- Perform tasks such as tile repairs, carpet cleaning, Interior painting, and pressure washing.
- Ensure seasonal tasks (e.g., winterizing pipes, salting walkways, and maintaining outdoor furniture) are handled efficiently.
- Replace consumables like air filters, batteries, and light bulbs in a timely manner.

**5. Documentation and Reporting**
- Prepare and maintain detailed logs and reports on daily, weekly, and monthly maintenance activities.
- Systematically document deficiencies, repairs, inspections, and other activities for internal tracking and auditing.
- Maintain inventory logs for supplies and tools, ensuring adequate stock and accurate tracking.

**6. Resident Interaction**
- Respond promptly to tenant maintenance requests, ensuring issues are resolved efficiently and to the tenant’s satisfaction.
- Communicate clearly and professionally with residents about repair timelines and activities.
- Foster positive relationships with tenants to ensure high-quality customer service.

**7. Building Oversight**
- Monitor for suspicious activity, vandalism, or security concerns and report them to management.
- Inspect and maintain parking lots, exterior grounds, and landscaping to ensure cleanliness and safety.
- Ensure common areas, such as lounges, gyms, and shared spaces, are well-maintained and in working condition.

**8. Technical Skills**
- Proficiency in Pool,plumbing, electrical repairs, Heatpump systems, and general maintenance tasks.
- Ability to use hand and power tools effectively.
- Knowledge in interpreting technical manuals and blueprints to troubleshoot and resolve issues.

**9. Additional Requirements**
- **Flexibility**: Willingness to work weekends, evenings, and respond to emergency calls as required.
- **Physical Fitness**: Ability to lift heavy objects (up to 50 lbs), climb ladders, and work in various weather conditions.

- **Minimum Requirements**:

- Valid driver’s license and access to a reliable vehicle.
- Fluency in English & French.
- A clean criminal record.
- Availability for emergencies and seasonal maintenance tasks.
- You must have your own tools.
