Our Petrogas, Fort Saskatchewan Truck & Rail Terminal is currently looking to fill a Terminal Administrator position. Terminal administration personnel work a twenty-eight-day rotating shift schedule (42 hours per week). This position will report to the Terminal Operations Supervisor.
What you will be doing:
- Add and maintain driver and trailer accounts, using the terminal management software, TPVision
- Process driver bill of ladings throughout the day by checking accuracy and inputting into reports.
- Communicate with dispatchers to assist truck drivers with bill of ladings, trailer information, orientations, assigning gate cards, and assisting as needed
- Use the transportation logistic system, Vantedge to enter railcars and inspections. Transfer railcar information into daily outbound spreadsheet
- Send railcar bad order requests and keep track of repair status
- Enter railcar bill of ladings into shipping spreadsheets. Update shipping spreadsheets daily
- Ongoing communication with Railgroup team. Receive and update daily inbound and outbound railcar lists, update terminal reports, provide support
- Create purchase order and change order requisitions in JDE, including PO’s for other facilities.
- Process invoices for approval by coding and ensuring accuracy in JDE. Keep track of all invoices and packing slips.
- Enter Employee Timesheets into payroll
- Enter an update various tracking spreadsheets, including pipeline meter tickets, daily reports, purchase orders, overtime hours, etc.
- Complete monthly reports; including PO accruals, railyard inventory, boiler steam log, etc.
- Credit card reconciliation
- Request and process monetary donations. Arrange and coordinate annual giving campaign.
- Order Operator coveralls, winter gear and FR clothing as needed
- Maintain office supply inventory, and order when necessary. Including coffee, kitchen supplies, janitorial, stationary, etc.
- Initiates communication with vendors to schedule service and repairs; including office equipment maintenance, water delivery, office cleaners, etc.
- Manage incoming packages, schedule Purolator, and pick up mail
- General administrative duties as required, including filing, scanning, copying, ordering lunches, answering main phone line, order kids Christmas gifts, etc.
- Work closely with Lead Hands and Operators on site, working together ensuring accuracy of paperwork, railcars, reports, and problem solving
- Complete safety courses as required, such as TDG, WHMIS, and First Aid
- General housekeeping
What you must have:
- Proficiency in Microsoft office, including Excel, Outlook, Teams, Sharepoint
- Quick and accurate typing skills
- Ability to multitask While maintaining attention to detail and accuracy
- Must possess a valid Class 5 Driver’s License
- A positive attitude and desire to learn / A Self starter, with an initiative-taking approach
- Effective communication skills with supervisors and other team members.

The Petrogas Fort Saskatchewan Truck & Rail Terminal located in Fort Saskatchewan, Alberta. The Terminal serves as a storage and distribution facility for bulk shipments of LPG, Biodiesel, Vinyl Acetate, RMG & Ethanol by railcar, tank truck, pipeline. Petrogas is an indirect subsidiary of AltaGas Ltd. AltaGas is a leading North American energy infrastructure company that connects NGLs and natural gas to domestic and global markets.
