Maintenance Planner

**POSITION OVERVIEW**

Reporting to the Maintenance Manager, the Maintenance Planner/ Purchaser will be responsible for maintaining the Company work order system and works with the Maintenance Supervisor to prioritize work orders, distribute work orders to staff, ensure work is completed in a timely manner and ensure costs and time for each task are accounted for on the work order. In addition, will assist with maintaining the maintenance parts inventory, sourcing, and purchasing of maintenance parts and equipment, building and repair services.

Reporting to the Maintenance Manager, the Maintenance Planner/ Purchaser will be responsible for administering the Company work order system and Preventative Maintenance program under CMMS to maximize manufacturing efficiency, to purchase all maintenance parts and equipment, services, building services and repairs. In addition, he will be responsible for setting up and maintaining the maintenance parts inventory system. As a member of the Maintenance team, participates in department projects, operational committees, and other initiatives.

**KEY RESPONSIBILITY AREAS**

***1. Planning / Purchasing**
- Sourcing vendors, obtaining quotes to submit Requisition form to Procurement for purchasing all machinery and maintenance parts, tools and building services.
- Setting up with maintenance manager building maintenance and repair services and contracts.
- Maintains budget tracking information and relevant accounting/reporting activities.

**2. Inventory**
- Setting up and maintaining parts inventory system and storeroom.
- Determines parts on hand quantities and reorder points.
- Completes physical inventory counts to compare to Navision system data. Investigates discrepancies.
- Completes physical reception of goods in storeroom.
- Monitors and reports inventory budget activities.

**3. Preventative Maintenance Program**
- Reviews equipment specifications to implement and administer Preventative Maintenance program using FIIX software with the support of Maintenance Supervisor.
- Works with management team during the daily meeting to coordinate and priority planning of work orders, with the support of Maintenance Supervisor.
- Responsible for initial screening of incoming work orders, identifying w/o scope and determination of required level of planning with Maintenance Supervisor.
- Assists the Maintenance Supervisor with preparing work instructions and assigning work orders to Technicians, updates system upon completion. Plans jobs with appropriate level of detail for the given skilled trades workforce.
- Works with Maintenance Supervisor to continually monitor PM program to ensure desired outcomes are achieved.
- Determines appropriate QA/QC requirement for each job being assigned.
- Produces clear and concise work details for all jobs.
- Identifies required kitting parts and assembles work package for all work orders. Procures equipment and specialized tools required to perform maintenance tasks.
- Conducts field walk to identify and works with Maintenance Supervisor to document job requirements.
- Estimates required hours on work order tasks, total work duration and skills required to perform the task and shares with Maintenance Supervisor.
- Gather and organize necessary engineering or technical specification documents and drawings to add them to our CMMS.
- Maintains the maintenance backlog with a focus on achieving minimum backlog and escalating when concerns arise.
- Updates CMMS with data daily, produces service and technical reports along with associated certification and adds them to our CMMS.
- Arranges for external support and services as needed and ensure support had all required Food Safety and Health & Safety training prior to entering facility.
- Coordinates the work orders and production downtime for external contractors to meet with our Grade A, CFIA requirements and safety inspections.

**4. Safety & Environment**
- Fosters safe work practices by enforcing standard safety procedures and as required develops and implements practical recommendations for safety practices.
- Verifies that no unsafe practices developed in the dairy plant, performs periodic inspections, and enforces all the policies and procedures related to employee safety in the work environment.

- Engages in permanent and continuous learning by participating in on-the-job, internal and/or external training programs. Applies learned knowledge to work environment and role.
