**Accessing Opportunities at Côté Gold**

**ADMINISTRATOR, SUDBURY OFFICE**

The **Sudbury Office Administrator **provides support to the Côté Gold leadership team and ensures that the Sudbury Office is well maintained and running efficiently. They work collaboratively with all departments to develop and maintain efficient and productive administrative systems and process.

**Key Responsibilities**

Area 1:
Provide administrative support.
- Develop and maintain administration systems and process to streamline data entry, document filing and other administrative processes.
- Provides as-needed support to leadership team and Sudbury office employees.
- Prepare presentations, reports and other materials to aid in decision making.
- Prepare meeting agendas, record meeting minutes, and follow up on action items.
- Coordinate meetings and events, including preparing the meeting space, ordering food, tidying the room, preparing handouts and materials and coordinating travel arrangements as needed.
- Coordinate travel arrangements and act as a main point of contact for clients and visitors when they arrive at the office.
- Respond to employee questions and inquiries related to administrative matters.
- Manage incoming and outgoing packages and mail.
- Provide back-up administrative support to other departments, and be thoroughly versed in the administrative processes for at least one other department.
- Act as an ambassador for the team, including greeting guests and handling basic inquiries.

Area 2:
Sudbury office efficiency.
- Ensure that the office remains clean and organized.
- Coordinate with third party service providers to ensure cleanliness, functionality of equipment and adequate supplies.
- Operate and maintain office equipment.
- Check and maintain office supply inventory and ordering new supplies as needed.
- Manage the office budget, validate invoicing against goods and services rendered.

Qualifications

**Minimum Requirements and Nice To Haves**

minimum qualifications, formal education, certifications or equivalents
- Grade 12 or equivalent.
- Post secondary education in an administration related field is considered an asset.

Work experience - Nature & Length
- 2 or more years of related work experience.

Additional qualifications - Competency requirements
- Computer literate and proficient in word processing, data entry, spreadsheets and PC based presentation graphics.
- Effective communication skills, verbal and written.
- Proven ability to balance several tasks simultaneously and excellent organizational skills.
- Ability to work with others in a team environment.
- Flexibility to undertake a variety of assignments.
- Knowledge of basic office functions, i.e., office machines, telephone systems, copier, fax, binding machines.
- Highly motivated and independently driven with a sense of urgency.
