**We are recruiting a Full time HR Coordinator**in the Head Office, HR Department. Reporting to the HR Manager, the HR Coordinator is primarily responsible for providing initial guidance and process knowledge related to the employment lifecycle. Responsible for coordinating several HR functions including recruitment, onboarding & orientation, file management, job changes, benefits administration, retirements/resignations, terminations, etc. as well as ensuring integrity of the processes and data within the Dayforce software system. Provides administrative and human resources day-to-day support to managers, supervisors and employees by acting as the “face” of the HR department - often the first point of contact to answer any general inquiries.
**KEY RESPONSIBILITIES**:
- Maintains records of personnel-related data in both paper and the database and ensures all employment requirements are met.
- Organizes and manages human resource records by keeping accurate, up to date employee files including contracts and letters of offer, job description, employment prerequisites, signed off policies, performance reviews and other HR related documents. Performs periodic audit to ensure that all required documents are collected, filed appropriately and up to date such First-Aid, Food Handler training, security clearances and among others.
- Provides recruitment support for managers and supervisors by assisting in reviewing resumes, completing preliminary phone interviews, verifying work history and references, and criminal background checks.
- Coordinate with managers to create job posting, and post jobs internally and on applicable external sites.
- Prepare, send employee letters, packages and manage the onboarding process.
- Facilitates the onboarding process and enrollment for new hires in outlook, Relias and Dayforce. Ensures all new hires are onboarded in accordance with the Society policies and licensing requirements and Ontario Employment Standards Act and Federal regulations.
- Responds to internal and external HR related inquiries or requests from applicants and employees related to policies, benefits, hiring processes and refer more complex questions to HR manager or designate.
- Processes HR related employee changes (leaves of absence, promotions, transfers, vacation requests, terminations and retirements).
- Coordinates with Workplace Safety & Insurance Board (WSIB) for employees in work-related injury or illness.
- Maintains the security, integrity and confidentiality of HR files and records.
- Support any other special projects the HR manager needs assistance with.
- Other duties as required.
**QUALIFICATIONS**:
- A diploma or a or bachelor’s degree in human resources management or a combination of education and work experience at a minimum of 1 to 2 years.
- Strong organization and time management skills, with the ability to prioritize and meet deadlines, high attention to details and ability to multi-task and exercise independent judgment.
- Working towards CPHR is considered an asset.
- Experience working in a not-for-profit environment.
- Working knowledge of relevant HR jurisprudence, Ontario Employment Standards Act and other applicable labour law legislation.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy.
- Highly flexible and adaptable and works well in a team-oriented environment.
- Prior experience with Dayforce a plus.
**MANDATORY JOB REQUIREMENT**
- Satisfactory Criminal Record Review (Vulnerable Sector Search).
- Evidence of COVID-19 vaccination status.
- Doctors note of fitness to perform the duties of the job.
- **Valid Ontario driver’s license, satisfactory driving record.**
