**About This Opportunity**

We are currently seeking a dynamic **Invoicing Clerk** to join our team at the **Cambridge**location. Reporting to the Warehouse Supervisor, this role plays a key part in ensuring smooth office operations and excellent customer service. The Invoicing Clerk will be responsible for managing communication channels, processing invoices and payments, preparing shipping and customs documentation, maintaining accurate records, and providing administrative support to facilitate effective workflow and service delivery.

**Key Responsibilities**
- Act as the primary contact for visitors by greeting them on arrival, maintaining an organized workspace, and promptly forwarding calls to the appropriate parties.
- Prepare and issue accurate customer invoices based on warehouse paperwork (“Pick Tickets”).
- Verify order details, addressing discrepancies with the sales or operations team as needed.
- Enter invoice data into the ERP system-Prophet 21.
- Maintain organized records of all invoices issued for auditing, reporting, and customer service purposes.
- Match shipping paperwork to orders and ensure proper filing.
- Create and prepare customs paperwork for shipments going to the USA, ensuring compliance with shipping regulations.
- Receive, sort, and distribute incoming mail efficiently to the correct departments or individuals.
- Maintain organized filing systems for shipping and office documents for easy access and record-keeping.
- Monitor office supplies inventory and order stock regularly.
- Prepare courier shipments, including necessary documentation and coordination with courier services.
- Perform general office duties and housekeeping to maintain a clean, professional, and functional work environment.

**Education Requirement and Preferred Skills**
- Experienced user of Microsoft Outlook, Excel, Word, and PowerPoint for daily office tasks
- Experience with Prophet 21 (P21) ERP system is an asset.
- Superior customer service skills and ability to deal with clients in a courteous and tactful manner.
- Ability to work well under pressure, prioritize duties and meet deadlines in a fast-paced environment.
- Ability to use general office equipment, including multi-line phone system, copier scanner and fax machine, and other aspects of an automated office environment
