Reporting directly to the Controller, the Payroll and Benefits Administrator is responsible for managing two key confidential HR functions: full-cycle payroll and benefits administration. This role oversees payroll processing for approximately 350 employees across Canada in a retail environment, ensuring accuracy and compliance with all federal, provincial, and territorial regulations.
Key responsibilities include administering employee benefit programs, maintaining personnel records, preparing payroll reports, and handling related administrative tasks. Additional duties may be assigned as needed.
- Process bi-weekly, multi-provincial payroll and special pay runs as needed.
- Review store payroll submissions for accuracy and resolve discrepancies before processing.
- Maintain accurate employee data in the payroll system, including new hires, changes, and terminations.
- Prepare bi-weekly Payroll Remittance Reports to ensure timely payment of deductions.
- Preparation of Records of Employment (ROEs).
- Assist with T4 and T4A preparation and submission.
- Ensure payroll compliance with all applicable federal, provincial, and territorial legislation.
- Administer day-to-day benefits, including enrollments, changes, terminations, and deductions.
- Communicate with group benefits provider regarding employee coverage updates.
- Support employees with benefit-related inquiries and provide timely, accurate information.
- Ensure all benefits records are updated and compliant with privacy regulations.
- Monitor changes to provincial labour standards and payroll-related legislation.
- Ensure all payroll and benefits practices adhere to legal and company standards.
- Coordinate workplace accident/injury reporting and maintain appropriate documentation.
- Provide employees with requested information regarding pay, deductions, benefits, and work permits.
- Maintain and retrieve confidential employee records, ensuring access only to authorized parties.
- Minimum 3 years of experience in payroll and benefits administration, with multi-provincial payroll expertise.
- PCP and/or PCMP certification required.
- Strong knowledge of Canadian payroll legislation, tax laws, and HR practices.
- Proficient in payroll software; CANPAY experience considered an asset.
- Skilled in processing salaries, commissions, bonuses, taxable benefits, and other compensation types.
- Experience managing work/study permits and familiarity with IRCC regulations is a strong asset.
- Knowledge of benefits programs, audits, income tax forms, and compliance requirements.
- Proficient in Microsoft 365 Office Suite, with advanced Excel skills (formulas, pivot tables, etc.).
- Strong written and verbal communication skills and customer service orientation.
- High attention to detail with strong problem-solving, analytical, and documentation skills.
- Proven ability to build cross-functional relationships and contribute to a collaborative, high-performing team.
- Demonstrated integrity, discretion, and ability to handle confidential information.
- Ability to develop, streamline, and implement payroll and benefits processes effectively.
- Business-minded with the ability to resolve complex payroll issues and recommend compliant solutions.
- Must successfully pass a criminal and credit background check.
