The **Fleet Maintenance Coordinator** at Frozen Solid is primarily responsible for overseeing the safety, reliability, and efficiency of our vehicle fleet, with secondary responsibilities in warehouse maintenance. This role focuses on coordinating all aspects of fleet management, including preventive maintenance, repairs, inspections, and compliance with regulatory standards. While supporting occasional warehouse maintenance tasks, the primary emphasis is on maintaining the integrity of our transportation services, ensuring our fleet operates smoothly and efficiently to meet operational demands.

**RESPONSIBILITIES**:
**Fleet Maintenance Management**
- Schedule and coordinate regular preventive maintenance, inspections, and repairs for all fleet vehicles and warehouse equipment.
- Monitor vehicle mileage, usage, and performance data to forecast maintenance needs.
- Maintain accurate records of maintenance activities, including repairs, parts replacements, and servicing schedules.
- Develop and execute a comprehensive fleet maintenance plan that optimizes vehicle uptime and minimizes downtime.

**Preventive Maintenance and Repairs**
- Implement a comprehensive preventive maintenance program to extend vehicle life and reduce breakdowns.
- Ensure timely completion of routine inspections, oil changes, tire replacements, and other scheduled maintenance tasks.
- Perform hands-on repairs and troubleshooting, addressing mechanical and electrical issues efficiently.
- Utilize fleet management software (e.g., Samsara) to track maintenance activities, ensure compliance, and optimize operations.
- Perform general repairs and maintenance tasks as needed.

**Vendor and Supplier Coordination**
- Liaise with mechanics, technicians, and external vendors for specialized repairs.
- Maintain strong relationships with service providers and parts suppliers.
- Negotiate favorable terms and contracts with vendors to ensure cost-effective, high-quality maintenance solutions.
- Support the annual review of preferred vendors and monitor vendor performance against agreed-upon standards.

**Compliance**
- Ensure compliance with federal, provincial, and local regulations related to fleet operations, including licensing, registration, and inspections.
- Monitor fleet compliance with standards for brakes, tires, lighting systems, and other critical components.
- Stay updated on regulatory changes to ensure adherence to Canadian transportation regulations and industry requirements.

**Inventory and Budget Management**
- Track inventory levels of parts, tools, and equipment to avoid shortages.
- Monitor and manage maintenance budgets to control costs effectively.
- Identify cost-saving opportunities without compromising safety or quality.

**Communication and Reporting**
- Provide regular updates to management on fleet status, repairs, and costs.
- Communicate maintenance schedules and vehicle availability to operations teams.
- Prepare and present reports on key performance metrics, such as downtime, maintenance costs, and fleet performance.

**Emergency Response and Problem-Solving**
- Respond promptly to unexpected breakdowns or maintenance emergencies.
- Develop contingency plans to minimize operational disruptions caused by fleet issues.
- Ensure availability to address urgent calls, coordinate necessary resources, and implement swift solutions to maintain operations during non-business hours.

**Accident and Incident Investigation**
- Assist with accident and incident investigations by gathering relevant information, reporting details accurately, and supporting the implementation of corrective actions to prevent recurrence.

**Other Tasks and Projects assigned by the Manager or Supervisor**

**QUALIFICATIONS**:

- A minimum of 3 years of experience in fleet maintenance coordination within the transportation industry is required.
- In-depth knowledge of vehicle maintenance procedures, tools, and technologies.
- Strong understanding of safety regulations and compliance standards in the transportation industry.
- Proficiency in fleet management software and maintenance tracking systems.
- Skilled in the operation of tools and equipment used in the repair of trucks and heavy equipment.
- Valid Class 5 driver’s license required; Class 1 preferred.
- Excellent problem-solving skills and a proactive approach.
- Knowledge of material handling equipment is an asset.
- Must be safety-conscious, detail-oriented, and have a strong work attendance history.
