As a Client Care/ Receptionist Representative in our accounting firm, you will play a crucial role in providing exceptional customer service to our valued clients. Your primary responsibility will be to ensure client satisfaction and maintain strong relationships by effectively addressing their inquiries and concerns. This position requires excellent communication and problem-solving skills as well as a strong attention to detail.

**Key Responsibilities**:

- Greet and welcome clients and visitors in a professional, friendly, and courteous manner.
- Answer incoming phone calls, direct calls to appropriate staff members, and take detailed messages when necessary.
- Schedule appointments for clients and ensure the availability of appropriate staff members.
- Maintain knowledge of our services, policies, and procedures to effectively address client inquiries.
- Assist clients with basic administrative tasks such as completing forms or gathering required documentation.
- Manage the incoming and outgoing mail and ensure its proper routing and distribution.
- Maintain and update client records, ensuring accuracy and completeness of client information.
- Serve as the first point of contact for clients, understanding their needs, and providing timely and accurate responses to their inquiries.
- Collaborate with accountants and other internal teams to provide seamless service and address client needs effectively.
- Proactively identify opportunities to improve client satisfaction and propose appropriate solutions.
- Handle client complaints and escalate complex issues to the appropriate department when necessary.
- Assist in the onboarding process for new clients, ensuring a smooth transition and providing necessary guidance.
- Conduct periodic client satisfaction surveys and assist in analyzing feedback to enhance client experience.

**Qualifications and Skills**:

- Proven experience in a client care or receptionist role, preferably in the accounting or financial industry.
- Excellent verbal and written communication skills, with a professional and approachable demeanor.
- Strong interpersonal skills, with the ability to build rapport and maintain positive relationships with clients and colleagues.
- Exceptional organizational and multitasking abilities to manage multiple priorities effectively.
- Attention to detail, with a high level of accuracy and thoroughness in completing tasks.
- Ability to work independently as well as collaboratively in a team environment.
- Knowledge of basic accounting principles and terminology is a plus.

**Education and Experience**:

- A high school diploma or equivalent is required.
- Familiarity with accounting software and tools will be an advantage.
- Previous experience in a client care /customer service/accounting role is highly desirable.
