**Your Opportunity**Functions and Duties**
- 1. Contributes to the development of procedures and short, medium, and long range plans; as well as the development, implementation, and management of the annual unit plan, the annual operating budgets and the annual capital budget.- 2. Responsible for processing of account payments, purchase requests, journal entries, personnel financial matters, travel claims; procurement card statements, assembling of financial information and reports; monitoring Campus budgets and analyzing historical and statistical data.- 3. Responsible for the recruitment, hiring, onboarding, training, workload allocations, supervision, development and evaluation of assigned support staff. Developing and maintaining a positive and productive work environment that supports employees is essential.- 4. Fosters and maintains effective and productive working relationships with employees, including other College departments, Directors, Deans, as well as external organizations.- 5. Provides support required to recruitment activities to ensure sustainable enrolment levels. Works with Student Services to ensure adequate levels of service are available on the campus.- 6. Works closely with the Registrar’s Office to ensure that all Okanagan College admissions and registration policies and procedures are adhered to and collaborates with the Registrar’s Office to implement changes to registration and admissions policies, procedures and systems.- 7. Supervises all cashier sessions within the Regional Dean’s Office including ensuring that all cashiering procedures are adhered to, reviewed and signed off on all cashier sessions and bank deposits.- 8. Responsible for the room scheduling of educational programs, working closely with Deans’ offices, Chairs and the College’s scheduling office regarding the room assignment of classes, laboratories and examinations to ensure effective and efficient space utilization9. Manages all aspects of select campus events such as the annual awards ceremony, orientation, convocation, Open House events, celebrations, etc. Engages campus employees to be involved in these events and works closely with the VSAOC where appropriate. Project manages the logistics and Campus budgets for these events.- 10. Ensures complaints, concerns and suggestions from students, employees, and other key stakeholders are addressed expediently, making appropriate referrals to Deans and Directors where required. Manages non-academic student misconduct incidents and participates as a key manager in addressing violent and threatening behavior.- 11. Liaises with contact security company and OC security to ensure that adequate levels of security are available on the campus.- 12. May chair, designate chair duties or participate as a member of the local health and safety committee working to ensure that regular, local safety meetings are held and required reporting structure is in place; also ensures assigned employees are familiar with relevant health and safety regulations and receive proper instruction in safe work practices and accident prevention.-
- 14. Works closely with Facilities to ensure premises are properly cleaned, maintained and repaired; assesses and makes recommendations on renovation requirements and furniture refurbishment and replacement; works with Facilities’ managers to facilitate necessary service contracts and, where required, acts as point of contact for on-site contractors, including reviewing work performed by contractors (where appropriate).- 15. Provides administrative support to the Regional Dean in the preparation of confidential and sensitive correspondence, minutes, agendas, documents and reports; maintains Campus filing and record system.- 16. Participates in College-wide committees and various ad hoc committees, teams and task forces and may chair committees as directed by the Regional Dean- 17. In the absence of the Regional Dean, acts as a point of contact, ensuring that matters are referred to appropriate College personnel as required- 18. Other related duties as assigned.**Education and Experience**
- Bachelor’s Degree in a related discipline. 6 years related experience, including 3 years supervisory and office management experience. An equivalent combination of education and/or experience may be considered. Education/experience with project management is an asset. Experience in conflict resolution with employees, students, clients and/or customers is required.**Skills and Abilities**
