Spa Coordinator

Polished Beauty Bar is in need of a part-time/full-time Spa Coordinator to join our team. A spa coordinators is the liaison between spas and their clients. They work with both spa owners and employees to ensure that each guest has a positive experience at the spa. Spa coordinators may also be responsible for managing the day-to-day operations of the spa itself.

Currently, our spa runs on Milano software and a Wix website, we offer an on-line booking, an on-line store and also communicate with customers through social media daily.

We offer a variety of spa services and encourage you to check our website and Instagram and Facebook page to learn more about us. Our team is hard working and works very well together in a modern and upbeat environment. Our spa is owned and operated by a sole proprietor who is also a working team member. We have been open since 2010 and have a loyal customer base.

A main goal is to work efficiently and in a well organized surrounding.

The Day to Day operations include:

- Answer phone promptly and professionally, book appointments and perform receptionist duties
- Keep client appointments on track and scheduled, book appointments meticulously and carefully.
- Assist with canceling appointments and rescheduling as well as keeping a cancelation list.
- Accommodating customers as best a you can to see that they can get an appointment.
- Greet guests in a friendly, efficient manner and assist them during their visit
- Provide information to clients regarding spa services and promotions
- Ensure the spa operations run smoothly
- Assist with ordering inventory as needed
- Promote spa services
- Audit and balance daily paperwork
- Process end-of-day reports
- Complete sales in person, as well as on line orders, and manage gift card sales.
- Increase retail sales by thorough knowledge of skincare and products.
- Provide guidance to clients regarding retail.
- Maintain inventory on line and in spa.
- Keep retail organized and clean for merchandising purposes.
- Supervise the working of the salon and direct staff members to perform various duties
- Report bi-weekly payroll for all staff members, commission and non-commission based
- Trustworthy: Handle money transactions, gratuities, clients' personal information
- Communication: As a spa coordinator, you may be responsible for communicating with clients, staff and other individuals. This requires you to have excellent communication skills, including the ability to speak and write clearly.
- Organization: The ability to stay organized is an important skill for a spa coordinator. This is because you often have many tasks to complete in a short period of time. Being able to prioritize your tasks and keep track of your progress is essential to being an effective spa coordinator.
- Customer service: Customer service is the act of providing a positive experience for a customer. As a spa coordinator, you may be the first point of contact for clients, so it’s important to be friendly and welcoming. You can also use customer service skills to help clients understand the services and products offered by the spa.
- Time management: spa coordinator often have many tasks to complete in a day and they need to make sure they complete them all in a timely manner. Having good time management skills can help them stay on schedule and complete all of their duties and run their team efficiently
- Multitasking: Spa coordinators often have to multitask, as they often have many responsibilities to complete in a short period of time. This can include checking in clients, managing the cash register, filling out paperwork and keeping track of inventory.
- Professional attitude and appearance: A well groomed appearance is mandatory. Uniform is worn upon hiring.
- Social Media and Computer skills: As a spa coordinator, you will have to use social media to post any availabilities, promotions and new services.
