We are currently looking for an administrative assistant to take over the position of **college administrative coordinator**. This position is responsible for the customer service provided to our students from the front desk of the campus as well as the coordination of all administrative tasks related to the admissions process and program delivery.

**Tasks and Responsibilities of the Administrative Assistant**
- Opening the Campus at the beginning of the day
- Offering customer service to students
- Supporting instructors whenever they require assistance
- Supporting the Admin team whenever they require assistance
- Arranging appointments, meetings and circulates agendas
- Managing input of student attendance data and generate monthly attendance for filing
- Answering the phone
- Ensuring the facilities are in good condition for the delivery of lessons
- Collecting payments and issue receipts
- Placing orders for students’ books
- Keeping a controlled inventory of the students' books on store and office supplies
- Regularly check the program schedules, student marks and preparing midterm evaluation
- Preparing placement package and graduation package
- Students refund and withdrawal process
- Uploading Marks in OACC (STEPS) Website
- Preparing KPI and NACC audit
- Keeping the log of laptops usage
- Preparing mailing envelopes and placing mail on the mailbox whenever needed
- Filing students’ contract in digital format, creating hard copy files and update student’s information in Mautic & AMP system
- Booking NACC final exam (PSW & ECA)
- Any additional activity assigned by the Campus Managing Director or the President of the College

**Professional Skills**
- Strong experience in office administration
- Outstanding knowledge of techniques and etiquette
- Thorough knowledge of recording and techniques
- Proficient in Microsoft Word, Excel, and Outlook

**Note: They should understand the following**:
**Basic office equipment** - from copiers to fax machines, school administrative assistants should be highly knowledgeable about various office equipment.

**School policies** - school administrative assistants should be fully aware of all school attendance policies as well as policies regarding other pertinent rules.

Post-Secondary preferred

**Experience**:
Administrative assistant: 2 years (preferred)

Mandarin-speaker preferred
