**QUALIFICATIONS**:

- 2 year Community College diploma or Or combination of education and experience required
- High School Diploma preferred
- Undergraduate Degree in progress or completed preffered
- Epic credentialed training along with Medical Terminology and/or Medical Office course completion required
- CHIMA/HIM certification in progress or completed.
- Minimum 5 years of senior level hospital HIM operations experience, with significant expertise in chart analysis/quality/deficiency management, training, workflow and job aid development.
- Understanding of HIM standards, structure and content of electronic legal medical records like Epic clinical system and Epic HIM modalities, functionality, reporting tools, and Dragon Medical One front-end dictation functionality
- Understanding of Public Hospitals Act, Mental Health Act and PHIPA provisions related to documentation requirements, accuracy, completeness and privacy
- Operational HIM experience managing chart quality issues in Epic systems, including chart deficiency workflows and reporting tools.

**RESPONSIBILITIES**:

- Translates operational requirements to technical requirements to support ICT EMR system changes and new builds to support HIM operations
- Participates in testing new HIM IT system builds, providing appropriate test data and design feedback
- Uses Epic system knowledge to recommend builds and modifications to support new HIM Operational workflows to support curation of the Electronic Legal Medical Record (eLMR)
- Submits tickets, monitors status of HIM build/fix/optimization requests in EMR system and escalates to Manager and Director as required
- Communicates progress and change to HIM Operational staff as it relates to successful adoption of new tools and workflows
- Creates new HIM QA written workflows to support new operational requirements to support HIM’s quality compliance obligations in the Electronic Legal Medical Record system
- Liaises with physician/provider group to support changes in HIM Operations that impact provider workflow, including new EMR deficiency reporting and reconciliation workflows
- Creates new HIM Dragon Medical One end user support documentation and workflows
- On behalf of HIM, reports system issues and new requirements into appropriate ICT/Epic problem resolution pathways
- Confers with other Epic hospitals to identify common requirements and opportunities for standardization of solutions to support new chart quality risks related to Electronic Legal Medical Record management, sharing of solutions
- Provides regular reports to Health Records Committee on special projects related to provider EMR documentation quality and efficiency, including deficiency management
- Develops metrics to track issues, efficiency trending and risk
- Makes recommendations for ongoing process improvement
- Monitors HIM operational staff quality work, performing audits and QA checks
- Builds reports and provides regular productivity and efficiency data to management
- Guides process improvement and change management related to HIM Chart Quality operations.
- Acts as team leader for HIM QA Operations
- Develops HIM program to support HIM QA role in Dovetale and specifically new operational workflows related to monitoring comparative quality issues across various modes of electronic clinical documentation, including DMO (front end dictation), use of SmartText and templates, etc
- Uses Epic reporting data to support data driven decision making in support of ongoing HIM operational improvement to support eLMR Quality
- Identifies gaps in training and competencies and makes recommendations regarding future staff and resource requirements to manage QA obligations and LMR Quality risk
- Proposes changes to support ongoing improvement of chart documentation quality in EMR Dovetale
- Builds reporting tools to monitor and track risk and success
- Develops and delivers all new HIM operations training to support all aspects of HIM Chart QA functions, as well as communications, training and awareness material to support end user practice improvement
- Uses PEP (Physician Efficiency Program) reporting data, and other Epic reporting platforms to effectively monitor for efficiency and identify opportunities to supporting documentation improvement across SJHH
