**THE CHALLENGES**

The Administrative Assistant / Project Coordinator will support the Engineering and Project Management Team in all initiatives and work assignments received from Senior Program Manager, and Engineering Manager. The person will also execute different tasks such as project report formatting, documenting transmittal into the project folders, meeting minutes, and provide quotes.

**YOUR RESPONSIBILITIES WILL BE...**
- Develop/maintain server folder structure for engineering, administration, and project files
- Develop/prepare/maintain transmittal logs for customer projects to track incoming and outgoing files/documents
- Develop/revise/update project management templates and tracking spreadsheets/documents
- Log and summarize subcontractor invoices
- Attend internal and customer meetings as required and record and prepare written minutes and action item logs
- Attend project kick off meetings and record minutes
- Assist project managers with change order preparation, tracking and sign offs by customer
- Maintain dashboards with data from ERP system
- Assist with creating and tracking quotation

**REQUIREMENTS**
- College diploma in Engineering/Project Management/Business Administration is an asset
- Minimum of 3 years of relevant experience (construction industry preferred)
- Computer proficient: Microsoft Office (MS Word, Intermediate Excel, Outlook)
- Knowledge of industrial and construction equipment preferred
- Knowledge of Salesforce is an asset
- Knowledge of ERP systems is an asset
- Excellent oral and written communication skills
- Customer oriented attitude
- Excellent interpersonal and team building skills
- Ability to multitask
- Strong organizational and prioritizing skills
- Flexibility and adaptability
- Self motivated
