**Clerical Assistant, Indigenous Law Centre**:
The Indigenous Law Centre (ILC), College of Law is undergoing a revitalization. We are seeking an Indigenous Assistant who is enthusiastic and welcoming to a diverse group of students, faculty, staff and community members. The assistant will be part of a small team within the ILC and part of a larger team for the overall College of Law.
**PRIMARY PURPOSE**: To provide administrative and clerical support to the Indigenous Law Centre, College of Law.
**NATURE OF WORK**: Reporting to the ILC Finance and Operations Manager, this position is part of a smaller team within the ILC as well as part of a larger team within the College of Law. The assistant will be assigned with numerous general office tasks such as reception, calendaring, logistic support for events and programming, transactional support, ILC program(s) support; and other clerical support to members within the ILC. The Assistant must be able to interact knowledgably and courteously with a diverse group of individuals with a high level of customer service, tact, cultural sensitivity, confidentiality, and expertise. Being a positive and welcoming individual is critical for this position. The Assistant must be able to shift priorities and workflows based on deadlines and frequent interruptions.
**ACCOUNTABILITIES**:
- Act as the primary reception for the ILC office
- Provide calendaring and administrative support for the Academic Director of the ILC as well as clerical support to other members within the ILC team
- Provide administrative support to the Cultural Advisor
- Prepare transactional items such as reimbursements, travel arrangements, PCard transactions, office supplies, courier services, etc.
- Coordinate event planning including ordering of AV requirements, food, event setup, etc.
- Coordinate bookings for the ILC boardroom and ceremonial room
- Work with administrative staff within the College of Law on various projects
- Liaise and communicate policies, procedures and notices to the students, faculty and staff
- Prepare reports as requested
- Other duties as assigned
**Qualifications**
**Education**: Completion of grade 12 and a secretarial or office administrative diploma from a recognized institution.
**Experience**: Minimum of two to five years of related clerical and administrative experience.
**Skills**:Demonstrates public relation skills, including the ability to interact effectively with the public, faculty, staff and students; demonstrates willingness to assist others; communicates in an open and professional manner; demonstrates highly effective interpersonal, analytical, written and verbal communication skills; ability to work independently with mínimal supervision and as part of a team; be self-directed and set priorities; handle all interactions with tact, discretion, confidentiality, cultural sensitivity; recognize problems and determine best course of action and arrive at a solution; demonstrates proficiency with Microsoft Office software as well as University software that relates to position; displays ability to set priorities while achieving goals and objectives in an appropriate time frame; resourcefully addresses issues that arise.
