Reporting to the Director of Operations and Senior Property Administrator, the Property Administrator is responsible to provide excellent customer service to residents/clients; organize and maintain up to date and precise property administration and work as part of a team.

This includes, but is not limited to marketing, administration, expense control, income maximization and so on. All this is done with the goal of always providing resident satisfaction through the delivery of excellent service to all residents. The Property Administrator will uphold Drake’s policies, mission, vision, and values serving as a brand and cultural ambassador for our residents, co-workers, vendors, and public.

**Responsibilities**

**1. Customer Service / Resident Relations**
- Respond professionally and courteously to all resident inquiries, feedback, complaints, or concerns.
- Communicate effectively with residents and relevant stakeholders.
- Maintain a high standard of resident satisfaction through regular engagement and proactive attention to needs.
- Foster a strong customer service culture within the team.
- Promote the use of the Rent Café Resident Portal for streamlined communication and service.
- Actively listen and escalate resident complaints to the Property Manager when necessary.

**2. General Administration**
- Assist in preparing and analyzing monthly management reports in collaboration with Property Managers and Property Accountants.
- Prepare necessary documentation to support due diligence for potential property sales.
- Ensure accurate and organized electronic filing of all relevant documents and records.

**3. Resident Leasing Administration**
- Set up approved leases and resident profiles in Yardi; prepare complete lease packages.
- Manage notices to vacate and assist with hydro account setup for new residents.
- Distribute leasing status reports weekly to the Director and Property Administrator.

**4. Resident Payment Administration**
- Collect, sort, and enter rental payments into Yardi.
- Set up pre-authorized payment (PAP) agreements.
- Process NSF payments and issue corresponding N4 notices.
- Prepare weekly collections letters and deposit reports.
- Ensure accurate bank deposits and proper documentation of receipts.

**5. Legal Administration**
- Issue legal notices such as N4, N5, N6, and N7 as required.
- Monitor compliance with Landlord and Tenant Board (LTB) payment plans.
- Enforce LTB orders and coordinate with enforcement offices.
- Prepare and maintain collection files for past tenants.

**6. Rent Administration**
- Run and verify monthly rent billings in Yardi.
- Prepare N1 rent increase notices.
- Issue annual tax receipts for tenants.

**7. Resident Portal Administration**
- Set up PAP and tenant insurance information.
- Provide login credentials and technical support for the Resident Portal.
- Respond to maintenance and communication tickets as applicable.

**Qualifications**

**Education**
- Minimum: High School Diploma.
- Preferred: College diploma in a related field.
- Strong proficiency in Microsoft Office (Outlook, Word, Excel is essential).

**Experience**
- Minimum of 2 years in leasing or property administration.
- Experience with Yardi or other property management systems is an asset.

Pay: $50,000.00-$55,000.00 per year
