**Job Title**: Residential Property Administrator & Cleaner

**Reports to**: Property Manager & Director of Operations

**Subordinate Positions**: As directed by Property Manager / Director of Operations

**Summary of Function**: Under the direction of the Property Manager and/or Director of Operations, you will oversee the coordination of all work described for this role at the property. This includes maintaining high standards of customer service, administration, and cleanliness.

**NOTE: THIS POSITION IS OPEN IN TWO LOCATIONS**:

- **HAMILTON (includes a one or two-bedroom unit)**:

- **OSHAWA (includes a two-bedroom unit)**

**Key Responsibilities**:

- **Customer Service**:

- Respond to resident inquiries, feedback, and concerns.
- Coordinate with onsite and external maintenance personnel daily.
- Provide residents with service information and ensure adherence to customer service policies.
- Act as a liaison with other employees and maintain high levels of resident satisfaction.
- Recommend service improvements based on resident feedback to the Property Manager and/or Director of Operations.
- Maintain professional appearance and promote the organization positively.
- **Administration**:

- Prepare, distribute, and manage resident notices and general correspondence.
- Assist with the preparation and distribution of LTB legal forms and follow procedures.
- Record rents in Yardi, issue receipts, and reconcile Petty Cash.
- Assist with Accounts Receivable procedures including preparing notifications, demand and default notices, and follow up.
- Track and distribute lease documents, create new tenant files, update contact lists, and prepare welcome packages.
- Maintain logs of contractors and resident complaints, support Resident Service Technician.
- **General Maintenance**:

- Prepare vacant apartments for showings/move-in within 5 days of renovation work being completed.
- Conduct daily inspections and assess conditions of each property to report to the Property Manager / Director of Operations.
- General cleaning duties as required.
- Flexible in schedule to show vacant units to prospective residents.
- Pick-up supplies as required.
- **Cleaning Responsibilities**:

- Remove litter and debris from all entrances and parking areas.
- Maintain cleanliness of garbage enclosed areas.
- Clean windows and entrance signage.
- Ensure flower beds and planters are well-kept.
- Clean glass doors, windows, walls, and mirrors in lobbies and vestibules.
- Vacuum weather mats and carpets, mop and sweep floors, and empty and clean waste receptacles.
- Dust and damp wipe furniture, maintain mail room cleanliness.
- Sweep and mop floors, damp wipe doors, walls/mirrors, light fixtures, push buttons, and ventilation grills in elevators.
- Vacuum common area carpets, sweep and mop stairwell risers, steps, and landings.
- Dust and clean walls, door frames, handrails/balusters, and fire cabinets.
- Clean hallway windows and light fixtures, remove debris and miscellaneous items.
- Wipe down laundry equipment and clean lint traps, wipe down tables, countertops, sinks, and windows in laundry rooms.
- Sweep, mop, and dust mechanical rooms, remove unnecessary debris, and ensure proper storage and labeling of chemicals to meet WHIMIS requirements.
- Remove garbage and miscellaneous items left by previous residents in vacant apartments, ensure windows are clean and intact, clean and disinfect surfaces of construction material, dust, and debris, deep clean all appliances post-renovations, and ensure apartments are in 'Rent Ready' condition.
- **Safety & Compliance**:

- Follow safety protocols and ensure compliance with health and safety regulations.
- Report building hazards, security concerns, or major repair needs promptly.
- Record and submit fire log entries and file incident reports.
- Secure common area doors and exit doors daily.
- Report deficiencies in exterior common areas and clean graffiti as directed.

**Requirements**:

- **Education & Experience**:

- Minimum 2-years in Property Management.
- Previous experience with cleaning apartments or commercial properties.
- **Skills & Abilities**:

- Proficiency in all aspects of Office 365 including MS Outlook, Excel, Word, Teams.
- Property Management software. YARDI is an asset.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Strong troubleshooting and problem-solving skills.
- Ability to work independently and as a team.
- Work collaboratively under the guidance of a supervisor.
- **Additional Requirements**:

- Must have a valid driver’s license and own a reliable vehicle to travel between building locations.
- Flexibility to work outside regular hours as needed.

**Schedule**: Full-time, with flexibility to work outside of regular hours as needed.
