**Position: Maintenance Supervisor**
**Reports to**: Facility Manager
**Location**: HomeSpace Society, Assigned Portfolio (Buildings & Units)
**Position Mandate**:
The Maintenance Supervisor is responsible for the day-to-day operations of assigned Maintenance Technicians and Property Administrator, including overseeing all maintenance and repair activities across assigned properties. The role includes both the leadership of a team and direct involvement in technical tasks to ensure the proper functioning of all building systems. The role also involves strategic oversight in areas such as preventative maintenance, unit turnover, vendor management, budget control, and safety compliance. The individual will work closely with the Senior Facility Manager to implement best practices, improve operational efficiency, and ensure alignment with organizational goals.
**Key Responsibilities**:
**Team Leadership & Supervision**:
- Lead, mentor, and supervise the team of Maintenance Technicians and Property Administrator to ensure high standards of performance, compliance with safety protocols, and alignment with company goals.
- Provide training, coaching, and performance feedback to ensure continuous professional development and team effectiveness.
- Foster a culture of accountability, ensuring that all team members meet operational goals and adhere to deadlines.
- Involved in the recruitment, training, and development of team members, promoting employee engagement and retention.
- Conduct regular team meetings to align priorities, safety updates, and performance expectations.
**Maintenance & Building Operations**:
- Oversee and manage day-to-day maintenance operations, ensuring that all requests, repairs, and emergencies are handled promptly and professionally.
- Troubleshoot and perform repairs to HVAC, plumbing, electrical, and mechanical systems, as well as provide support for complex tasks.
- Lead the development and implementation of preventative maintenance plans to ensure optimal performance of all building systems.
- Supervise the maintenance team, ensuring safe and efficient completion of all maintenance tasks.
- Ensure operational efficiency by working closely with vendors and contractors to complete projects in compliance with service standards.
**Unit Turnover Management**:
- Oversee the unit turnover process, ensuring that all repairs, maintenance, and cleaning tasks are completed on time and to the company’s quality standards before new tenants move in.
- Manage vendor relationships and coordinate turnover projects, ensuring they stay on schedule and within budget.
**Vendor & Contractor Management**:
- Oversee and manage relationships with external contractors, vendors, and service providers, ensuring that work is completed according to contract terms and quality standards.
- Review and approve quotes for smaller projects (under $1,000) and collaborate with the Senior Facility Manager for larger projects.
- Monitor vendor performance, address deficiencies, and ensure adherence to contract terms.
**Budget & Financial Oversight**:
- Assist the Senior Facility Manager in managing the annual maintenance and turnover budget, tracking expenses related to operational and capital projects.
- Monitor and control costs for repairs, maintenance, and unit turnover, ensuring value for money and adherence to budget constraints.
- Prepare cost estimates for larger projects, submitting them for approval to the Senior Facility Manager.
**Health, Safety & Compliance**:
- Ensure compliance with all health, safety, and building code regulations, conducting regular property inspections and working with external inspectors to address issues.
- Implement and oversee safety training for the maintenance team, ensuring that proper protective equipment and safety protocols are adhered to.
- Respond to and address any critical incidents related to safety, security, or maintenance issues, ensuring proper documentation and follow-up.
**Administration & Reporting**:
- Maintain accurate and detailed records of maintenance activities, and work orders using property management software (e.g., Yardi).
- Prepare regular reports on maintenance activities, unit turnover progress, and budget performance for the Senior Facility Manager.
- Ensure proper documentation of work completed, including any materials used, and maintain up-to-date work order logs.
