**PROJECT PURCHASER**:
**Construction, Mechanical & Fabrication Divisions**

Commercial Swimming Pool & Water Feature Design/Build Company

Full-Time, Permanent Position

The **Project Purchaser - Construction, Mechanical & Fabrication Divisions **will report directly to the Manager of Projects, and will be primarily responsible for the following**:
**Job descriptions for the Project Purchaser include but are not limited to;***
- Day to day tasks as assigned by the Department Manager
- Daily Filing (including invoices)
- Daily payroll administration for the Construction, Mechanical & Fabrication Divisions
- Project Purchase List Documents for Construction, Mechanical & Fabrication
- Project start-up documents including contracts reviews and associated tracking
- Project shop drawings and close out documents and associated tracking
- Coverage when the Project Administrator - Mechanical & Electrical is off on holidays and/or personal/sick days
- Develop and update the new project management documentation including; master schedule in MS Project, build ups in Project Management program, project meeting minutes, customer schedules, distribution ordering and scheduling, samples distribution and monitoring
- Projects Department purchasing as assigned
- Quarterly schedules are completed to allow for the long lead procurement and quoting cycle
- Ensure that weekly procurement schedules are completed, vetted and then sent to Vice-President of Projects for approval.
- Finishes selections or any technical information must come from the Design Department or the Project Estimator, then approved in writing by clients via sample submission, then procured
- Ensure that all deliveries include a specific off-loading plan (including weights, size of skids versus site conditions, etc.). There must be a checklist for each and every delivery to site. This is to be coordinated with the Project Scheduler
- Bid and award tile/stone/concrete/finishing subs
- Finishing take offs and buys of finishing claddings and construction materials; including coordination through SPA warehouse to get products to sites
- Prepare purchases orders with a vendor quote, and copy of the estimate to confirm budget for routing to the President & CEO for sign-off.

**Other duties may include, but are not limited to;***
- Project Department weekly meeting minutes and updates
- Internal communication with the Accounting Department for billings/Vendors
- Support Projects Department: Project Estimator, Project Scheduler, Design Department
- Answer telephones when other positions are busy, and lunchtime phone coverage is required
- Daily contract reviews and administration
- Day to day issuance of purchase orders (P.O.’s)
- Project tracking, from onset through to completion
- Dispatch and coordination of sub-trades with site Project Leaders
- Perform other daily duties as requested by the Department Manager and/or the President & CEO

**Office Hours** (unless otherwise specified by Management)**:
Monday to Friday, 8:00 a.m. to 5:00 p.m. (with a 1-hour, mandatory unpaid lunch each day)***

**Required Competencies**:

- Proficient in MS Office ( Word, Excel, Outlook, Publisher)
- Proficiency in MS Project will be required.
- Proficiency in Sage 100 will be considered an asset
- Ability to read AutoCAD drawings is an asset
- College Diploma/University Degree
- Exceptional written & verbal communication skills
- Very detail oriented & able to multi-task
- An extremely reliable Team player, who can also work efficiently independently
- Ability to crisis manage, and problem solve effectively
