Reporting to the Equipment Manager, the Equipment and Materials Administrator will be responsible for supporting the coordination and procurement of equipment and materials for all projects.

This position is based out of the Equipment Yard located in Winnipeg.

Responsibilities

  • Understand Company's guidelines pertaining to warehousing and delivery to various work sites.
  • Track and maintain accurate documentation, including the coordination of vehicle/equipment repairs and maintenance.
  • Support the Equipment Yard and project teams with all related administrative tasks such as invoicing, inventory management and dispatch of equipment and materials.
  • Serve as a point of contact for sites for equipment and material needs as required.
  • Assisting in developing systems, processes and procedures that support the procurement of materials and site requirements.
  • Collaborate with all stakeholders (operations, national supply chain management, and finance teams) to prepare and review vendor agreements for terms, price, and acceptability of items to specification.
  • Support project teams to determine procurement and equipment needs.
  • Brainstorm and develop strategies to maximize cost savings and process improvement.
  • Align with all current purchasing policies, procedures, and guidelines including electronic purchase orders.
  • Identify key contacts and assist in establishing and maintaining vendor relationships.
  • Investigate alternative product options, negotiate with vendors, and expand vendor network.
  • Support the Equipment yard with administrative tasks as required.
  • Lead and participate in Company initiatives as required.
  • Other duties as assigned.

What We Are Looking For

  • High school diploma
  • Previous experience working in a procurement, administrative, equipment, or related role in a construction environment considered an asset.
  • Proficient in MS Office applications, including Excel, Word, and Outlook.
  • Experience with ERP systems such as Orion, Viewpoint, or SAP is considered an asset.
  • Self-motivated and action-oriented, with the ability to work collaboratively in a team or independently on routine tasks.
  • Strong customer service orientation and interpersonal skills.
  • Ability to build and maintain positive relationships with diverse groups and stakeholders.
  • Skilled at managing multiple priorities and adapting to unpredictable activities in a dynamic environment.
  • Capable of working under pressure and meeting tight deadlines through effective prioritization.
  • Strong analytical and critical thinking abilities, with a high degree of accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Basic knowledge of construction practices, equipment and materials is considered an asset.
