**GENERAL SUMMARY**
Under the general direction and supervision of a Recreation Specialist or Supervisor, the Recreation Booking and Office
Services Coordinator is responsible for assisting the public at the facility reception counters or over the telephone with
recreation program registration, drop-in admissions, inquiries, and facility bookings. The Coordinator is responsible for
administrative support to the Director, Specialists and Supervisors.
**KEY RESPONSIBILITIES**
**Customer Service**
- Contributes to the success of our team and creation of our thriving community, by fostering the District of Squamish
corporate values: Respect, Integrity, Connection and Progress.
- Provides information and responds to inquiries regarding facilities, recreation programs, rules and regulations,
services and specialist events.
**Facility Booking**
- Schedules bookings to ensure no conflicts arise and facilities are used effectively to best serve the needs of the
community.
- Processes requests from a variety of community and sport groups, special event coordinators, and corporate clients
for bookings of District of Squamish Recreation facilities and joint School District facilities as well as determining fees,
insurance and license requirements, processing payments, issuing refunds, and following up on unpaid invoices.
- Coordinates bookings with parks, engineering, custodial and other site staff on the set-up of spaces; and addresses
problems and complaints as required.
- Registers and issues receipts to patrons for a variety of recreation programs using the registration system.
- Operates a cash register and point of sale system and collects appropriate fees for programs, services, and products.
- Balances the cash register at the end of the work shift and prepares reports regarding cash balances.
**Administration**
- Performs some or all of the facilities office support services for recreation facilities including maintaining and ordering
office supplies.
- Develops, administers, and reviews the recreation volunteer program including training, scheduling, and supervising
volunteers to support recreation programs and events.
- Responsible for opening and closing procedures of the front desk.
- Schedules appointments, organizes meetings, and meeting locations.
- Prepares reports and performs statistical analysis related to recreation and facilities.
- Monitors Recreation Department’s budget and provides monthly budget statements to the Recreation Lead team.
- Evaluates office for efficiency, adequacy of procedures, and recommends alternate courses of action.
- Keyboards a variety of documents of various lengths and complexity.
- Assists with the preparation of marketing materials.
- Contacts current and potential advertising customers and to assist in generating advertising sales.
- Assists and coordinates the development of Community Engagement Plans for Recreation Services projects
- Responsible for maintaining the office records system including maintaining and filing a variety of office records
including Purchase Orders, invoices and original documents for permanent safekeeping.
- Provides administrative support to the Director and other Supervisors as required.
- Perform other duties as required.
**REQUIRED KNOWLEDGE, SKILLS & ABILITIES**
- Excellent interpersonal and communication skills and the ability to deal with people in a professional manner.
- Excellent organizational skills, the ability to perform multiple duties simultaneously with deadlines, and to exercise
judgment and work independently.
- Excellent written communication skills, including proper sentence structure, punctuation, spelling and grammar, with
a high level of accuracy.
- Thorough knowledge of business English, basic arithmetic, and modern office practices and procedures.
- Ability to receive cash, issue receipts, and make change accurately and promptly.
- Ability to operate office equipment.
- Advanced skills in MS Word, intermediate skills in MS Excel, with a minimum speed of 60 wpm.
- Intermediate skills in InDesign and MS Publisher.
- Familiarity with Recreation Registration and Booking systems.
- Ability to supervise, train, and motivate volunteers.
**REQUIRED TRAINING, EDUCATION AND EXPERIENCE**
- An original Police Information Check, including Vulnerable Sector Check issued within the past 6 months that is
satisfactory to the employer will be required before starting in the position**
