**POSITION PROFILE**

The Operations and Project Coordinator is responsible for the coordination and support of key operational projects, specifically those tied to risk management, emergency preparedness, business process improvement, and complex procurement. The Operations and Project Coordinator supports cross-collaborative projects through coordination of resources, scheduling, data collection, and records management across the university’s non-academic functions. This role supports complex procurement through the issuing of public tenders, the coordination of procurement projects, and the maintenance of the university’s contract management system. The Operations and Project Coordinator provides administrative support in maintaining the university’s operational policies, guidelines, and procedures. This position fosters effective relationships across departments while supporting a wide range of cross-departmental initiatives, all in the pursuit of operational excellence.

**How will you contribute as the Operations and Project Coordinator?**

**Project Coordination (50%)**
- Coordinates cross-departmental projects that support university operations.
- Champions continuous improvement projects by identifying opportunities for projects/initiatives requiring broad consultation across campus.
- Builds data collection methods to support data-driven analysis and decision making.
- Coordinates the University’s Risk Management program and Emergency Preparedness Plan (EPP)
- Serves as project secretary on larger campus projects (e.g. Campus Master Planning, Campus Emergency Response).

**Procurement and Contract Management (30%)**
- Supports complex procurement by coordinating all stages of a sourcing project’s lifecycle (planning, pre-award, award, administration and monitoring, evaluation, reporting, vendor relationship management).
- Oversees and facilitates formal procurement procedures and documentation related to: Requests for Proposal (RFP); Requests for Information (RFI); Requests for Quotation (RFQ).
- Develops and maintains necessary tools, templates, and processes to support procurement, and ensures appropriate document retention
- Supports contract owners in ensuring basic University policy requirements are met across a spectrum of university acquisitions (electrical certifications; insurance requirements; AODA compliance; etc.).
- Coordinates third party procurement services.

**Administration (20%)**
- Maintains inventory of institutional and operational policies, procedures, and guidelines.
- Assists policy owners in reviewing, revising, and creating policies by ensuring formatting standards are upheld and appropriate community communication is maintained.
- Maintains departmental records (electronic and paper).
- Hires, supervises, and directs coop students in project and operations support work

**As a successful Operations and Project Coordinator, you possess**:

- Undergraduate degree or equivalent combination of education and experience required.
- 3+ years experience in an operations or project coordination role.
- Project management training preferred.
- Experience with complex procurement (RFP, contract management, BPSPD) preferred.
- Experience using eProcurement platforms an asset.
- Risk Management experience an asset.
- Business Process Improvement experience an asset.
- Ability to effectively manage multiple priorities and complete tasks on schedule with mínimal supervision.
- Exceptional communication and interpersonal skills
- Strong organizational skills and attention to detail.
- Demonstrates initiative and sound judgment.
- Strong critical thinking and problem-solving skills.
- Ability to manage and process confidential and sensitive material in a
